Remote Onboarding Specialist

Careerscape is recruiting on behalf of our client for an entry-level, remote Onboarding Specialist to help new hires get off to a great start. In this role, you will be the friendly first point of contact for incoming employees, guiding them through paperwork, orientation scheduling, and account setup so that every new hire feels welcomed, informed, and ready to succeed from day one.

Day to day, you will juggle checklists, calendars, and communications, keeping multiple new-hire journeys moving smoothly at once while staying organized and detail oriented. This role suits someone who is naturally personable, enjoys helping people navigate new situations, and takes pride in creating a polished, consistent experience even when working across a fully remote team.

Responsibilities

• Serve as the primary point of contact for new hires throughout the onboarding process
• Send and track new hire paperwork, offer letters, and compliance documents
• Schedule orientation sessions, training calls, and introductory meetings
• Verify completion of background checks, I-9s, and other pre-employment requirements
• Maintain accurate onboarding records within the HRIS system
• Coordinate with hiring managers and IT to ensure equipment and system access are ready on day one
• Answer new hire questions about benefits enrollment, policies, and company procedures
• Track onboarding milestones and follow up to ensure timely completion of tasks
• Collect feedback from new hires to identify opportunities to improve the onboarding experience
• Assist with special onboarding projects and process improvements as needed

Requirements

• High school diploma or equivalent required; associate or bachelor degree preferred
• Prior experience in an administrative, HR, or customer service role is a plus
• Strong verbal and written communication skills
• Excellent organizational skills and attention to detail
• Comfortable managing multiple tasks and deadlines in a remote environment
• Proficiency with Microsoft Office or Google Workspace
• Familiarity with HRIS or applicant tracking systems is a plus
• Ability to maintain confidentiality of sensitive employee information
• Reliable internet connection and a dedicated home workspace
