The Part-Time Receptionist serves as the first point of contact for clients, students, and visitors. This position is responsible for providing exceptional customer service by answering phones, greeting guests, responding to inquiries, scheduling appointments, and supporting daily front office operations. The ideal candidate is friendly, organized, dependable, and able to multitask in a fast-paced environment.

Essential Duties and Responsibilities

• Answer incoming phone calls professionally and direct calls to the appropriate person.
• Respond to client, student, and visitor questions in person, by phone, and via email or text.
• Schedule, reschedule, and confirm client appointments using the scheduling software.
• Greet clients, students, and visitors with a welcoming and professional attitude.
• Maintain an organized reception area and ensure a positive first impression.
• Check clients in and out for appointments.
• Process client payments and issue receipts when required.
• Assist with appointment reminders and follow up on cancellations or no-shows.
• Maintain accurate client records and update contact information as needed.
• Perform basic data entry and filing.
• Assist with administrative tasks including copying, scanning, and organizing documents.
• Communicate appointment changes or scheduling conflicts to appropriate staff.
• Maintain confidentiality of client and company information.
• Perform other administrative duties as assigned.

Physical Requirements

• Ability to use a computer, telephone, and office equipment throughout the workday.
