Business Operations Manager

Overview Join a Practice Focused on Innovation and Exceptional Patient Care Heyl Family Practice is seeking an organized, motivated, and solutions-oriented Business Operations Manager to join our growing leadership team. This position plays a critical role in keeping our practice running smoothly by supporting daily operations, supervising administrative staff, coordinating recruitment and onboarding efforts, managing new patient workflows, and helping oversee the technology systems that power our organization. We're looking for someone who enjoys solving problems, improving processes, supporting people, and wearing multiple hats in a fast-paced healthcare environment. What You'll Do Operations & Practice Support Support day-to-day operational workflows across multiple practice locations. Assist leadership with operational planning, workflow improvements, and administrative coordination. Help resolve operational challenges while maintaining an exceptional patient and staff experience. Provide office support during periods of increased volume or staffing shortages. Coordinate workload across administrative teams to ensure priorities are completed efficiently. Directly supervise assigned administrative team members. Manage payroll for assigned employees. Conduct regular one-on-one meetings and provide coaching, mentoring, and performance feedback. Assist with employee development, accountability, and workflow management. Foster a collaborative, positive, and service-focused workplace culture. Recruitment & Onboarding Manage job postings across multiple recruitment platforms. Coordinate interviews and maintain communication throughout the hiring process. Manage applicant tracking and recruitment pipelines. Assist leadership with candidate evaluations and hiring recommendations. Coordinate onboarding, orientation, and new employee training logistics. New Patient Operations Oversee the new patient intake process from initial inquiry through scheduling. Monitor new patient requests to ensure timely follow-up. Track patient acquisition metrics and workflow performance. Identify opportunities to improve the overall patient onboarding experience. Support the administration of practice technology platforms, including: Microsoft 365, Phreesia, InteliChart, Telephone systems and Other operational software. Troubleshoot technology and workflow issues at the practice level. Coordinate with software vendors and technical support teams. Assist with implementation, testing, and optimization of new systems. Create training materials and educate staff on technology workflows and best practices.
