Admin Assistant

Job Description We are searching for an Admin Assistant to join our culinary team! The Admin Assistant is responsible for assisting the F&B Director with the planning, organizing, directing, coordinating, and execution of all department activities. $19.50 per hour. Preferred: 1 year of senior living experience General Summary The Admin Assistant facilitates the efficient operation of the Food & Beverage department by performing a variety of clerical, administrative, and direct service tasks. Principal Duties In the absence of the Director of Food & Beverage, supervises the dining venues Assists the Director of Food & Beverage with staffing, scheduling, training of staff Responds to and resolves administrative inquiries and questions. Manages the point-of-sale (POS) systems with activities including but not limited to meal counts, reservations, and sales Participates in cost control measures and inventories. Tracks and processes accounts payable for the department Submits company purchase card reconciliations Ensures compliance with regulatory requirements for various programs including but not limited to the social club Drafts communication for department and distributes accordingly Prepares agendas and written summaries, schedules meetings. Maintains records and filing systems Coordinates and plans events for the department while working with other key personnel in other departments (i.e. Marketing, Dining Services, etc.). Performs other duties as assigned. Qualifications High school diploma or equivalent. A minimum of two years supervisory or supportive experience within fine dining restaurants, clubs, hotels, or similar industries. Proven ability with computer and communication skills. Must have knowledge of Microsoft Office Suite products. Ability to demonstrate strong leadership skills. Ability to make quick decisions in high stress situations. Well organized. Ability to work flexible schedule including weekends and holidays. Excellent customer services skills. Ability to communicate with, understand, empathize with, work with, and be tolerant of residents, families, visitors, peers, supervisors, and subordinates. Physical Requirements/Working Conditions Must be able to stand and walk 90% of the work day; ability to stoop, stand, and stretch frequently. Position may require sitting for prolonged periods of time working on a computer. Must be able to lift 50 pounds frequently. Must be able to see, hear, and speak. Must be able to read, write, and communicate in English.
