Position Overview As a Registrar Service Specialist at Galen College of Nursing, you will provide consistent, friendly support to the students, faculty and staff and assist with the maintenance of academic records while enforcing policies and following established procedures of the college. Responsibilities Provide quality student service which says to students, "I Care" and demonstrates the college’s commitment to thoughtful, equitable treatment of all students in the areas of registration and academic records, and to insure the confidentiality and accuracy of student records. Verify that students have met all enrollment / admission requirements inclusive of background checks and meeting admission test thresholds. Assist in processing all readmission students. Provide timely notification to students of changes to their status with the college - probation, dismissals, etc. Work with other functional campus teams to meet needs of students as assigned by the Registrar. Meet with students and contact students on a routine basis regarding attendance, performance and progression in the program, documenting all student interactions in Ellucian Colleague. Provide support and assistance to all students including: Initial intake of students, ensuring transfer credit is understood and accepted. Registration assistance including verifying prerequisite/co-requisite rules. Processing waitlists as space permits. Registering students who are repeating. Assisting students with questions and issues. Assisting students with schedule adjustments during add/drop and advising on completion and financial aid impacts. Assisting students with ordering of uniforms. Monitoring clinical compliance and contacting non-compliant students to obtain required documentation. Provide professional assistance and support to the Academic Leadership of the campus. Assist in the preparation of reports and analysis related to student enrollment, registration, attendance, grades and other information as required by Academic Records. Coordinate with Student Success personnel to ensure students receive needed assistance and resources. Relay information, comments/complaints from students so the campus may address situations as they arise. Assure compliance with all policies and procedures as outlined in the Student Catalog, Faculty Handbook, and College Policy & Procedure Manual at the campus level. Provide information on policies and procedures to students and staff when requested. Work with students to ensure compliance with Galen and affiliate requirements for participation (immunizations, CPR, drug screenings, etc.) as assigned by the Registrar. Support college/campus goals. Track and report on Student interactions. Track and report on Student Placement and work to achieve campus strategic goals for placement. Track and report on other campus goals as assigned. Participate in campus activities that directly interface with students (orientation, open house, graduation). Attendance expectation: minimum of three graduations per year. Other duties as assigned. Position Requirements Education: Work toward an Associate degree preferred. Experience: Two years’ experience in college or academic setting preferred. Knowledge, Skills, Abilities: Knowledge or willingness to learn current student systems (e.g., Ellucian Colleague, Canvas, Unitime, Verified Credentials); knowledge of college catalog, policies, and procedures; knowledge of state licensure requirements; knowledge of campus resources for student support; knowledge of registration and records procedures and systems; knowledge of supervision. Abilities: Ability to communicate orally with co-workers, customers, clients, or the public in person or group settings; ability to work cooperatively with others across management levels and with students; ability to work under pressure and meet deadlines; ability to work in a fast-paced environment. Physical Requirements: Ability to walk, stand, and sit for long periods; effective concise verbal communication; ability to operate a computer and office equipment; normal motor skills and eye-hand coordination. Degree of Supervision: Moderate supervision.
