Position Summary
We are seeking a detail-oriented and organized Bilingual Spanish Accounting Administrative Specialist to support our Accounting and Payroll departments. This position plays a key role in processing accounts payable, assisting with payroll for employees in two states, maintaining accurate records, and providing administrative support. The ideal candidate is a proactive problem solver with excellent organizational skills, strong attention to detail, and the ability to communicate effectively in both English and Spanish.
Key Responsibilities
- Assist with the Accounts Payable process, including invoice entry, coding, matching, and payment processing.
- Support payroll processing for employees in two states by accurately entering payroll information and verifying time records.
- Research and resolve payroll, invoice, and vendor discrepancies.
- Maintain accurate employee, vendor, and financial records.
- Perform data entry with a high degree of accuracy and confidentiality.
- Prepare reports and spreadsheets using Microsoft Excel.
- Assist with account reconciliations and other accounting functions as assigned.
- Communicate professionally with employees, vendors, and internal departments in both English and Spanish.
- Maintain organized electronic and paper filing systems.
- Provide general administrative support to the Accounting department.
- Assist with special projects and other duties as assigned.
Qualifications
- Bilingual in English and Spanish (spoken and written).
- Minimum of 3 years of administrative experience , preferably in an accounting or payroll environment.
- Experience supporting Accounts Payable and payroll functions.
- Strong attention to detail and commitment to accuracy.
- Excellent analytical and problem-solving skills with the ability to research and resolve issues independently.
- Ability to handle confidential information with discretion.
- Strong organizational and time management skills with the ability to prioritize multiple tasks.
- Proficient in Microsoft Excel and Microsoft Office applications.
- Experience using Viewpoint software is a plus
- Excellent written and verbal communication skills.
- Dependable, self-motivated, and able to work both independently and collaboratively.
Preferred Qualifications
- Experience processing payroll in a multi-state environment.
- Construction or project-based accounting experience is a plus.
- Knowledge of payroll regulations and accounts payable best practices.
Physical Requirements
- Ability to sit and work at a computer for extended periods.
- Ability to occasionally lift office materials weighing up to 20 pounds.
