Financial Management // \n\n Utilize weekly budget report and project report to monitor progress on projects and review of accounts receivable (A/R) report.\n Prepare scope of work (SOW), Levels of Effort (LOE) and schedules for projects. Identify out of scope requests and prepare proposals for additional authorizations.\n Responsible for collection of invoices from clients including escalations for past due invoices.\n\n2. Corporate Compliance + Risk Assessment //\n\n Ensure completion of the contract and subcontract review process through the Contracts Department and appropriate filing and adhere to jurisdictional requirements and company-established signature matrix protocol.\n Cursory review of the initial contract terms and conditions and coordinate as necessary with client for modifications to the contract.\n General understanding of contract payment terms and company-wide fees and negotiation strategies. \n Follow company-established QA/QC process including project kick off and project safety plans.\n\n3. Communication + Collaboration //\n\n Held accountable for communications and collaboration such as ensuring that messages and information are not only received but understood and acted upon appropriately within the department, other disciplines and regions, and corporate resources. \n Able to articulate project requirements timelines, and deliverables, and corporate directives, in a concise and clear manner.\n Responsible for the completion of meeting minutes and documentation to respective parties. \n Comply with marketing requests including but not limited to input for requests for qualifications (RFQ) and proposals and maintaining updated resumes, etc.\n\n4. Client + Internal Satisfaction // \n\n Adhere to project schedules set by the client and keep clients informed of any potential delays and work with the supervisor for mitigation plans.\n Be responsive and accessible and address problems and concerns timely and follow up to ensure satisfaction post-resolution.\n\n5. People Development //\n\n Provide feedback on staff performance to management periodically including for annual evaluation.\n Assist with recruiting project team members. \n May give direction to support staff assigned to project(s) by supervisor and senior project manager(s).\n\n6. Technical // \n\n Identify existing utilities, establish contact with the utility companies, and attend utility coordination meetings.\n Prepare Utility Agreement Assembly packages, including reviewing plans and estimates to evaluate compliance with guidelines, rules, and regulations, determining eligibility and betterment ratios, and preparing documents required by 23 CFR Section 645.\n Attend meetings with individual utility companies and on-site field visits.\n Prepares utility relocation schedule and tracks project deliverables. Request for as-builts from utility owners.\n Set up and maintain electronic files for received utility records.\n Assist in interpreting various Subsurface Utility Engineering quality level data in order to analyze utility conflicts and develop concept plan.\n Assist in setting up and maintaining project electronic files, developing/maintaining project schedules, and maintaining client exhibits (KMZ & GIS) which define project scope of work.\n Assist in coordinating field investigation requests.\n Assist in reviewing design drawings, permit drawings, GIS geodatabase deliverables (QA/QC).\n Assist in updating internal and client project trackers.\n Assist in responding to design questions from CAD Technicians.\n Prepare utility progress reports. Prepare utility relocation schedule and tracks project deliverables.\n Work with major utility companies, various pipeline companies, as well as state agencies and municipalities. \n Prepare contracts, fee proposals, and scopes of work\n Prepare and submit monthly invoices and follow up with clients on outstanding invoices.\n\nCOBBFENDLEY CHARACTERISTICS\n\n We Collaborate // with a professional attitude making communication a priority.\n We Commit // to maintaining a safe and inclusive work environment, with a focus on accountability. \n We Build Communities // by fulfilling our responsibilities with integrity that is consistent with industry standards.\n\nPHYSICAL/COGNITIVE REQUIREMENTS + ENVIRONMENTAL FACTORS\nMost work is performed in a professional office environment. Some trips to client offices and outdoor environments for observations will be required.\n\n Seated and Standing Position. Extended periods of sitting and standing in an upright position at a workstation.\n Mobility. Movement within the office and job sites, including navigating between floors, workstations, and outdoor environments with potential for uneven surfaces.\n Neck Movement. Forward flexion, extension, or lateral rotation of the head and neck while using multiple computer screens.\n Repetitive Motion. Repetitive finger movements for operating a computer mouse and typing on a keyboard.\n Arm Movement. Extending hands and arms in various directions, such as overhead, below the waist, forward, or laterally.\n Object Handling. Raising or lowering objects from one level to another and transporting objects by holding them in the hands, arms, or over the shoulder.\n Cognitive Requirements. Selective attention, oral comprehension, oral expression, speech recognition, speech clarity, written comprehension, written expression, problem sensitivity, deductive reasoning, inductive reasoning, number facility, information ordering, category flexibility, flexibility of closure, fluency of ideas, and originality.\n Office Conditions. Includes extensive use of electronic devices such as computers, printers, copiers, scanners, plotters, and telephones. Additionally, tasks may involve the use of cutting tools and equipment like rotary paper cutters and plotting devices.\n Outdoor Conditions. Includes walking and climbing on uneven surfaces, confined spaces, and exposure to extreme weather conditions (heat and freezing temperatures). Potential exposure to high noise levels and various allergens, including poison ivy, sumac, dust, pollen, and cedar. Potential exposure to wildlife hazards such as animals, insects, and plants.\n Safety and Equipment Use. Regular use of personal protective equipment (PPE) is required, along with use of hand and power tools.\n Driving and Vehicle Use. May involve driving large pick-up trucks with attached trailers, potentially operating watercraft, and for extended periods of time.\n\nEXPECTED WORK HOURS\n\n This is a full-time position, generally 40 hours per week, however, hours may fluctuate depending on department needs including the use of overtime. \n CobbFendley’s standard operating hours are Monday through Friday, 7:30 AM to 4:30 PM CST. Generally, employees receive a 1-hour unpaid lunch break free of duty.
