VIVIFY is a fast-growing technology company in the clean energy space, and we're looking for a Purchasing & Inventory Coordinator to support our lab and corporate teams as we scale.

Reporting directly to the Director of Finance, your role is to own how VIVIFY buys — selecting and negotiating with vendors, setting inventory levels, designing the ordering process, and making sure every invoice is matched, coded, and routed to the right approver.

What You'll Do

Vendors & Purchasing

•        Own the company's internal ordering process: triage requests, confirm specs and quantities, and keep requesters updated from order to delivery.

•        Evaluate and select vendors for lab and corporate needs; negotiate pricing, terms, and lead times; and decide when to consolidate or switch suppliers.

•        Place and coordinate orders for both lab and corporate teams, balancing cost, lead time, and priority.

•        Coordinate new vendor setup with Finance, including W-9s and verification before first payment.

Inventory & Delivery

•        Set par levels, reorder points, and stocking strategy for lab and corporate supplies.

•        Track every open order through delivery and resolve late, partial, or incorrect shipments.

•        Receive and verify incoming materials, maintain accurate inventory records, and hand off to the Lab Manager with complete documentation.

Process & Spend

•        Design and own the procurement process, including how requests are submitted, prioritized, and fulfilled.

•        Analyze spend by vendor and category, and report findings and savings opportunities to the Director of Finance.

•        Recommend changes to purchasing and inventory policy as the company scales.

Accounts Payable Oversight

•        Ensure invoices are matched to orders and receipts, coded correctly, and routed to the right approver.

•        Oversee Brex transaction coding and receipt collection, and ensure approved bills are entered into our accounts payable system on schedule.

•        Resolve invoice discrepancies with vendors and support month-end close.

Qualifications

•        2–5 years of experience in purchasing, procurement, or a buyer role, with exposure to inventory control and accounts payable.

•        A track record of negotiating pricing and terms with vendors.

•        Experience setting reorder points or par levels and managing inventory for an operating team.

•        Ability to analyze spend data and turn it into recommendations; strong Excel or Google Sheets skills.

•        Working knowledge of AP: three-way matching, GL coding, and vendor setup.

•        Experience with Brex or a similar corporate card and expense management platform.

•        Familiarity with an AP or accounting platform (e.g., QuickBooks, NetSuite, Bill.com).

•        Experience using monday.com or a similar work management platform to track requests, orders, and workflows.

•        Quick with technology: you pick up new software fast and adapt as our tools change.

•        Comfortable managing requests from multiple teams at once.

•        Sharp attention to detail — you catch the duplicate invoice, the wrong ship-to address, and the missing receipt.

•        Experience in a lab, manufacturing, or engineering environment preferred.

•        Associate's or bachelor's degree in business, supply chain, or accounting preferred.

Compensation & Benefits

$60,000–$80,000 per year, commensurate with experience. This is a full-time, on-site role based in Delray Beach, FL, working Monday through Friday, 8:00 AM to 6:00 PM. Benefits include employee health coverage and paid time off.
