Field Project Coordinator

As a Field Project Coordinator, this role is responsible for managing the planning, coordination, execution, quality, safety, and financial performance of asphalt and concrete construction projects from project turnover through final completion and closeout. The Field Project Coordinator serves as a primary link between Operations, field crews, clients, subcontractors, suppliers, and internal management to ensure projects are completed safely, efficiently, on schedule, within budget, and in accordance with company quality standards and project specifications. This position requires frequent jobsite visits and hands‑on interaction with field crews, clients, subcontractors, and suppliers. The Field Project Coordinator must be comfortable working outdoors in active construction environments and managing multiple projects simultaneously. Essential Job Duties & Responsibilities: Project Coordination and Execution Coordinates with Operations, Foremen, field crews, subcontractors, suppliers, and clients to ensure the successful execution of asphalt and concrete projects. Reviews project scope, plans, specifications, proposals, contracts, and schedules prior to mobilization to ensure project requirements are clearly understood. Participates in pre‑construction, pre‑job, and progress meetings with Operations, Clients, General Contractors, subcontractors, and other project stakeholders. Develops and communicates project work plans, schedules, phasing requirements, and production expectations. Oversees projects from initial mobilization through completion and closeout. Monitors project schedules and production to ensure work remains on schedule and identifies potential delays or conflicts before they impact the project. Coordinates asphalt paving, milling, asphalt repairs, concrete installation, demolition, grading, sealcoating, crack filling, striping, and other related scopes of work as applicable. Tracks project scope, quantities, production, and progress and provides regular updates to Operations and management. Identifies work outside the contracted scope and ensures potential change orders are documented and communicated before additional work is performed when possible. Maintains ongoing communication with Clients, Relationship Managers, Operations, Foremen, Subcontractors, Suppliers, and other project stakeholders. Addresses client concerns and project issues promptly and professionally. Acts as a liaison between field crews, Operations, and clients to ensure project expectations remain aligned. Builds and maintains positive working relationships with Clients, General Contractors, subcontractors, suppliers, inspectors, and other on‑site professionals. Regularly communicates with the Client's appointed representative to review schedules, project phasing, access requirements, and daily operations. Quality Control & Company Standards Maintains responsibility for ensuring all project work meets company quality standards, project specifications, approved plans, and client requirements. Conducts regular jobsite inspections throughout each phase of construction to verify workmanship and quality. Reviews asphalt paving operations for proper preparation, placement, thickness, compaction, joints, transitions, drainage, and overall finished appearance. Reviews concrete operations for proper demolition, subgrade preparation, forming, reinforcement, thickness, elevations, slopes, finishing, curing, and overall workmanship. Verifies work is being completed according to the contracted scope and applicable plans and specifications. Identifies quality deficiencies and coordinates corrective action with Foremen, Operations, subcontractors, and suppliers. Holds field crews and subcontractors accountable for meeting established company quality expectations and workmanship standards. Documents quality concerns with photographs, measurements, notes, and other supporting documentation when necessary. Performs final project inspections and develops punch lists as required. Ensures punch‑list and corrective work is completed before final project closeout. Site Inspections and Reporting Frequently visits assigned project sites to interact with field crews, Clients, subcontractors, and suppliers. Regularly assesses project progress through jobsite inspections and direct coordination with field leadership. Measures and verifies project quantities including asphalt square footage, concrete quantities, pavement markings, ADA areas, repair areas, and other relevant project features. Reviews site conditions including drainage, elevations, pavement conditions, accessibility requirements, and potential conflicts that may affect construction. Documents projects with photographs and videos before, during, and after construction. Maintains accurate project documentation including daily progress information, quantities, field conditions, delays, client requests, and significant project events. Reports project issues, delays, scope changes, quality concerns, and other significant conditions to Operations and management in a timely manner. Safety Management & Reporting Upholds and enforces company safety standards, policies, and procedures on all assigned projects. Promotes a safety‑first culture among employees, subcontractors, suppliers, and other personnel working within company‑controlled work areas. Regularly inspects jobsites for unsafe conditions, improper work practices, PPE compliance, traffic‑control concerns, equipment hazards, and other potential safety issues. Immediately communicates significant safety concerns to field leadership and Operations and ensures appropriate corrective action is taken. Completes required jobsite safety inspections, observations, and safety reports for assigned projects. Collects, reviews, and compiles site safety documentation to ensure required reports are complete, accurate, and submitted according to company requirements. Works with Foremen and Operations to ensure required daily and project‑specific safety documentation is maintained. Documents safety concerns and corrective actions as required. Assists with incident documentation, investigation, and reporting when necessary. Ensures subcontractors working on assigned projects follow applicable company and jobsite safety requirements. Logistics & Resource Coordination Coordinates the scheduling of asphalt, concrete, aggregate, equipment, trucking, and other materials required for assigned projects. Ensures materials, equipment, labor, trucking, and subcontractor resources are properly coordinated to meet project schedules and production requirements. Coordinates staging areas, equipment access, material deliveries, traffic control, and project phasing to maximize field efficiency. Works closely with Operations, suppliers, trucking companies, and subcontractors to coordinate timely mobilization and deliveries. Anticipates upcoming project needs and communicates resource requirements to Operations before they impact production. Coordinates with Clients and General Contractors regarding access, closures, traffic flow, parking restrictions, business operations, and other logistical requirements. Project Cost & Financial Coordination Monitors project costs, production, labor, materials, trucking, equipment, subcontractors, and other project‑related expenses. Reviews project performance against estimated quantities, production assumptions, budgets, and schedules. Identifies potential cost overruns or production issues and communicates concerns to Operations and management. Reviews and processes invoices related to assigned projects. Verifies subcontractor and supplier invoices against completed work, deliveries, and agreed pricing. Tracks additional work and assists with preparing supporting documentation for change orders. Assists with project closeout and final cost review to evaluate overall project performance. Qualifications (Experience, Education & Certifications, Key Attributes): Strong organizational, planning, and multitasking skills. Excellent communication, leadership, and interpersonal abilities. Experience in asphalt paving, concrete construction, site work, or a related construction field preferred. Working knowledge of asphalt paving, milling, pavement repair, concrete installation, and related construction operations preferred. Ability to read and understand construction plans, specifications, proposals, and scopes of work. Understanding of construction scheduling, production, job costing, and project coordination principles. Familiarity with OSHA requirements, construction safety procedures, and jobsite safety documentation. Strong attention to detail with an emphasis on quality control, safety, documentation, and project profitability. Ability to communicate effectively with field employees, Clients, General Contractors, subcontractors, suppliers, and management. Ability to coordinate multiple active projects and changing priorities. Ability to travel frequently between project sites and work extended hours during peak construction periods. Valid driver’s license and acceptable driving record required. Monday through Friday, with Saturdays, nights, and extended hours as required by project schedules. Work hours may vary based on project requirements, weather conditions, client schedules, and seasonal workload. Travel May be required to travel within approximately a 150-mile radius or as necessary to support company projects.
