Executive Assistant / Office Administrator in North Loop

Are you an organized, proactive professional who enjoys being the person everyone can count on to keep things running smoothly? A growing investment management firm in the North Loop is seeking an Office Administrative Assistant that does the following: office administration, event coordination, executive support, and light accounting (data entry). You'll work closely with firm leadership while helping create an exceptional experience for clients, visitors, and team members.
This opportunity is ideal for someone with 1-4 years of administrative, office support, customer service, or coordinator experience who enjoys variety, takes initiative, and thrives in a professional environment.
Details :
- Schedule: Monday-Friday 8:00 AM-5:00 PM (flexibility for 8:30 AM-5:30 PM)
- Location: North Loop, Minneapolis onsite
- Pay: $50K-$60K + annual bonus
- Direct hire with full benefits + paid parking
Duties:
Office Administration & Executive Support (40%)
- Serve as the first point of contact for visitors, clients, and vendors.
- Answer and direct incoming phone calls with professionalism and accuracy.
- Coordinate office operations including mail distribution, office supplies, catering, building access, parking arrangements, and office organization.
- Maintain meeting spaces and ensure a welcoming environment for guests.
- Provide administrative and project support to firm leadership.
- Assist with special projects, travel arrangements, event planning, and other executive support needs.
Events & Meeting Coordination (30%)
- Coordinate logistics for conferences, business travel, client events, and team meetings.
- Schedule appointments and manage event-related communications and follow-up activities.
- Prepare and distribute meeting materials for weekly company meetings.
- Coordinate meeting technology, materials, and room setups.
- Support marketing initiatives, email campaigns, invitation lists, RSVP tracking, and event communications.
Accounting & Operations Support (30%)
- Enter invoices and support the accounts payable process within the accounting system.
- Reconcile corporate credit card transactions and ensure accurate recordkeeping.
- Prepare and process expense reports for leadership.
- Maintain spreadsheets, records, and operational documentation.
- Ensure data accuracy and assist with general administrative reporting.

Required Qualifications
- 1-4 years of experience in administrative support, office coordination, customer service, reception, or similar professional roles.
- Strong organizational skills and ability to manage multiple priorities.
- Excellent communication and interpersonal skills.
- Ability to build rapport with executives, clients, vendors, and team members.
- Strong attention to detail and accuracy.
- Demonstrated initiative and problem-solving abilities.
- Proficiency with Microsoft Office, including Word and Excel.
