Job Title: Onboarding Assistant (Healthcare) Location: Novato, CA Employment Type: Ongoing Contract Pay Rate: $30–$31/hour Schedule: Fully onsite About the Role We are seeking a detail-oriented Onboarding Assistant to support a high-volume healthcare onboarding team in Novato. This role is ideal for someone who thrives in a fast-paced, administrative-heavy environment and has experience managing multiple candidates at different stages of the onboarding process. Due to the nature of the work, a background in healthcare or pharma is strongly preferred, as the role involves extensive verification, credentialing, and compliance processes. Key Responsibilities Manage onboarding workflows for multiple new hires simultaneously across various departments Track and maintain onboarding progress using detailed checklists (17–18 steps per candidate) Download, review, and organize new hire documentation including school verification and immunization records Support credentialing and licensing verification processes Serve as the main point of contact for candidates, following up on missing items and ensuring timely completion Coordinate IT access, systems setup, and first-day readiness for new hires Maintain and update onboarding trackers and spreadsheets Collaborate cross-functionally with HR, IT, and department stakeholders Ensure compliance with healthcare onboarding standards and documentation requirements Required Qualifications Prior experience in onboarding, HR admin, or high-volume administrative support Healthcare or pharmaceutical industry experience required Strong attention to detail with the ability to track multiple processes at once Experience handling verification processes (education, immunizations, licensing, etc.) Excellent organizational and follow-up skills Comfortable working in a fast-paced, process-driven environment Strong communication skills and ability to work across teams Preferred Qualifications Experience with onboarding systems or ATS platforms (iCIMS, ADP, or similar) Familiarity with credentialing or compliance in a medical setting Advanced Excel or tracking experience Work Environment Fully onsite role based in Novato, CA Collaborative, process-driven team environment High-volume onboarding function supporting multiple departments Equal Opportunity Employer/Veterans/Disabled To read our Candidate Privacy Information Statement, which explains how we will use your information, please navigate to The Company will consider qualified applicants with arrest and conviction records in accordance with federal, state, and local laws and/or security clearance requirements, including, as applicable: The California Fair Chance Act Los Angeles City Fair Chance Ordinance Los Angeles County Fair Chance Ordinance for Employers San Francisco Fair Chance Ordinance Benefit Offerings Benefit offerings include medical, dental, vision, life insurance, short-term disability, additional voluntary benefits, EAP program, commuter benefits, and 401K plan.
