Job Title: Customer Account Coordinator
Department: Front Office
Reports To: VP of Sales
FLSA Classification: Non-Exempt
Compensation: $21–$25/hour
Schedule: Monday–Friday, 7:30 AM – 4:00 PM (On-site)
Location: Elk Grove Village, IL

Position Summary:

We’re seeking a reliable and detail-oriented Customer Account Coordinator to serve as a key liaison between our company and customers. In this front-line role, you will manage the full order process—from entry to delivery—while supporting customer needs, resolving issues, and collaborating with internal departments to ensure a seamless experience. This role combines administrative, clerical, and logistics responsibilities in a fast-paced, customer-focused environment.

Key Responsibilities:

• Act as the primary point of contact for customer inquiries, complaints, and service needs

• Accurately enter and manage customer orders, ensuring timely processing and fulfillment

• Communicate order status, backorders, delays, shortages, and delivery timelines

• Support live interactions via phone, email, or in person at the front desk

• Collaborate with sales, operations, and warehouse teams to meet customer expectations

• Schedule and coordinate incoming/outgoing freight with attention to customer-specific requirements

• Monitor inventory levels and work with internal teams to ensure product availability

• Resolve logistics issues such as shipping delays, overages, or damaged goods

• Work with vendors, carriers, and internal departments to ensure efficient delivery

• Perform accurate data entry for orders, shipping documentation, and customer records

• Submit and reconcile expense reports

• Assist with preparation and review of basic financial reports

• Provide support for accounts receivable/payable and payroll processing when needed

• Contribute to special projects and other duties to support the broader business

Required Qualifications:

• High school diploma or equivalent

• 2+ years of experience in customer service, logistics coordination, or administrative support

• Strong written and verbal communication skills

• Excellent attention to detail and organizational skills

• Ability to manage multiple tasks and deadlines in a fast-paced setting

• Proficiency with Microsoft Office (Excel, Word, Outlook)

• Experience with order entry systems, logistics software, or inventory tools a plus

• Strong problem-solving skills and the ability to work independently or as part of a team

Work Environment:

This position is based on-site in a manufacturing environment. Expect exposure to machinery, noise, dust, grease, and moving mechanical parts. Use of PPE (Personal Protective Equipment) is required.
