Workforce Intake Assistant. The Workforce Intake Assistant provides a positive and encouraging first impression to all customers both on the phone and in person. This position’s main responsibilities include guiding applicants through the WorkAdvance program orientation and intake process, contacting program leads, and scheduling appointments. In addition, this role will support orientation and intake activities for other MSG programs as needed. The ideal candidate will be tech‑savvy and detail‑oriented, have excellent customer service skills, and be skilled at managing multiple priorities and handling interruptions throughout the day. Responsibilities Greet and provide a welcoming environment to a diverse group of applicants, customers, and visitors Contact prospective customers via phone, text, and email to share program details and answer questions Schedule program applicants for orientation and interview appointments using online scheduling software through Salesforce Guide applicants through the full intake process, including form completion and administering computer‑based and hands‑on assessments Deliver weekly program orientations to small groups Maintain up‑to‑date and accurate applicant records in Salesforce and Google Sheets daily Report on completed outreach and intake activities, upcoming priorities, and overall intake progress Organize and maintain physical and digital intake documents, including filing, copying, and recommending process improvements to support efficiency and accuracy Participate in team meetings to review processes, share updates, and support continuous improvement Qualifications High School Diploma required (Associate or Bachelor's degree a plus) One or more years of customer service, receptionist, or administrative assistant experience Call Center or Inside Sales experience preferred Previous recruiting or telemarketing experience a plus Outstanding customer service skills on the phone, in person and via email correspondence Strong administrative skills, including extensive experience with MS Office, Excel, Word, Gmail, Google docs/sheets and a typing speed of at least 45 - 55 words per minute Ability to multi‑task and respond quickly to change with minimal supervision Occasional evening or weekend work required (advanced notice provided) Must have personal transportation that can be used throughout the workday Job Type This position is full‑time 40 hours per week Salary Range $40,000 Benefits Madison Strategies Group offers a competitive benefits package that includes health insurance, 401k, and generous paid time off.
