Position Summary

DCES is seeking an experienced and mission-driven Operations Manager to help lead the organization through its next chapter of growth and impact. The Operations Manager oversees the day-to-day operations of the organization in support of our mission and goals, serving as the primary point of contact for campers, families, and the public. This role blends administrative leadership, financial support, camp program operations, and donor/fundraising coordination‚ working closely with the Executive Director and Camp Director to keep DCES running smoothly year-round.

This is a hybrid role, with in-office time at the Orange, CA office at the discretion of the Executive Director.

What You'll Do

Office & Administrative Leadership

Serve as the face of DCES to the public, managing daily correspondence, visitors, and mail, while maintaining the organization's annual calendar and day-to-day office functions.

Financial & Budget Support

Support the organization's financial health by managing bank deposits, incoming checks, and bill pay, and by monitoring income and expenditures against the annual budget in QuickBooks, including AR/AP.

Camp Program Operations

Own the full camper lifecycle in CampMinder‚ from opening each new season and managing enrollment and registration through closing out the season‚ including collecting camper paperwork and medical/program forms, coordinating bus stop check-ins, and communicating deadlines and session information to families.

Staff & Volunteer Coordination

Support recruitment, onboarding, background checks, and training for seasonal staff, volunteers, and the CIT (counselor-in-training) program, and help the Camp Director coordinate cabin assignments and medical staff scheduling.

Camp Compliance & Safety

Support ACA accreditation efforts and manage incident reporting for campers and staff.

Fundraising & Donor Relations

Maintain accurate donor records and mailing lists in CampMinder, process and acknowledge donations, track fundraising activity in monthly reports for the Board, and support event logistics‚ from securing venues and managing ticket sales/sponsorships to running registration and stewarding donor relationships day of.

Community Outreach & Financial Aid

Represent DCES to schools, hospitals, and diabetes organizations to build awareness and reach underserved camper populations, and lead the camp scholarship (campership) program from application through award.

What We Need From You

Required

• 3+ years of experience in nonprofit operations, program planning or logistics, or event planning (or clearly defined transferable skills)
• Strong organizational management and planning skills
• Exceptional communication and relationship-building skills, with the ability to connect authentically with families and children
• Commitment to and passion for serving children, families, and communities affected by Type 1 diabetes
• 2+ years of experience with CRM data entry and reporting

Strongly Preferred

• Fundraising experience
• Leadership experience in a nonprofit, youth development, healthcare, or camp setting

Nice to Have

• Lived experience with Type 1 diabetes, or a connection to the community and willingness to learn about it
• Former camper experience
