A growing organization is seeking a detail-oriented and highly organized Operations Coordinator to support customer account management, service coordination, scheduling, procurement, reporting, invoicing, and compliance activities. Position Overview


The Operations Coordinator serves as a key member of the operations team, acting as a central point of coordination between customers, vendors, field personnel, and internal departments. This role is responsible for maintaining accurate records, supporting service activities, tracking contracts and warranties, processing purchase requests, preparing reports, and assisting with operational and financial workflows.

Key Responsibilities

Customer Account Management

• Serve as a primary point of contact for customer inquiries and account support.
• Maintain customer records, service history, contracts, and account documentation.
• Monitor contract terms, renewals, and warranty information.
• Ensure timely delivery of reports, invoices, and customer communications.

Operations & Scheduling

• Schedule preventative maintenance and service activities.
• Track work orders from initiation through completion.
• Coordinate with vendors, subcontractors, and internal teams to meet service needs.
• Support procurement activities, including purchase requests and order tracking.
• Monitor deliveries, backorders, and equipment availability.

Reporting & Financial Support

• Assist with invoice preparation and billing activities.
• Maintain accurate operational and financial records.
• Generate reports for customers and internal stakeholders.
• Support billing follow-up and documentation tracking.

Compliance & Administrative Support

• Maintain organized records and documentation.
• Support compliance-related tracking and reporting requirements.
• Ensure operational data is accurate, complete, and up to date.
• Assist with special projects and administrative tasks as needed.

Qualifications

• Minimum of 1 year of experience in operations support, customer service, project coordination, service administration, or a related field.
• Strong organizational and multitasking abilities.
• Experience with scheduling, reporting, invoicing, and recordkeeping.
• Intermediate proficiency in Microsoft Excel and Microsoft Office.
• Experience with CRM, project management, or workflow software preferred.
• Excellent written and verbal communication skills.
• Ability to work independently and prioritize competing deadlines.
