About the job

The Office Administrator/Coder Router ensures invoices and accounting transactions are accurately coded, routed, and processed while supporting accounts payable, payroll, accounts receivable, and financial operations.

We're looking for someone who

• Has at least 4 years of accounting experience
• Can manage a high-volume workload independently while maintaining accuracy and efficiency
• Is proficient in Microsoft Office and Microsoft Teams and can quickly learn new software
• Has experience with NetSuite and Paycom (preferred)
• Demonstrates strong organizational, analytical, and problem-solving skills
• Has exceptional attention to detail and time management skills
• Communicates effectively with employees, vendors, customers, and internal teams
• Works well both independently and collaboratively
• Maintains professionalism while handling confidential financial information
• Bilingual in English and Spanish (preferred)

What you'll do

• Review, code, and route invoices for approval using Stampli, NetSuite, and ComputerEase
• Assign invoices to the appropriate projects, general ledger accounts, and purchase orders
• Research and resolve invoice discrepancies with vendors and internal teams
• Support accounts payable functions, including invoice imports, vendor reconciliations, lien waivers, purchase orders, and vendor account setup
• Assist with month-end accounting processes, journal entries, accruals, and expense reporting
• Provide backup support for payroll, including timekeeping, payroll adjustments, employee reimbursements, and payroll reporting
• Assist with workers' compensation reporting and personnel action processing
• Provide backup support for accounts receivable by applying customer payments, assisting with collections, and resolving payment issues
• Validate financial data between NetSuite and ComputerEase systems
• Collaborate with shared services, production teams, and other departments to ensure accurate financial records
• Maintain organized documentation and support continuous process improvements
• Adapt to changing responsibilities as business needs evolve
