Job Description

·         Develop and communicate updated instructions for process improvements to management

·         Review and verify packing slips with entries from receiving

·         Perform three-way review and verification of payable invoices including purchase orders, packing slips, and invoices

·         Enter invoices and credit memos with a high degree of accuracy

·         Review vendor statements and investigate discrepancies, incorrect pricing, and billing errors directly with vendors

·         Investigate discrepancies involving open receipts on the accrual report

·         Collaborate with purchasing to ensure proper quantities for subcontractors align with invoicing

·         Manage electronic files ensuring proper naming conventions and filing on the accounting server

·         Perform minimal paper document filing as needed

·         Review all employee expense receipts for correct account, subaccount, and required documentation

·         Maintain consistency and precision when handling data entry, filing, and interdepartmental communications

·         Manage compliance sections in the ERP system including W-9s, Vendor COIs, and related documents

·         Schedule outgoing payments

·         Monitor payment terms and due dates to avoid late fees while optimizing working capital with awareness of vendor late fee policies

Key Requirements

·         Associate's degree in accounting with 2 or more years of relevant work experience

·         Five years of general accounting skills or 6 years of relevant work experience

·         Proficiency with Excel, Word, Power Point, Google Mail, and ERP systems

·         Ability to work independently and collaboratively as part of a team

·         Strong problem-solving skills and work ethic

·         Excellent verbal, written, and interpersonal communication skills

·         Excellent organizational and multi-tasking skills

·         Demonstrated ability to meet all deadlines consistently

·         Understanding of customer, vendor, and employee relationships and their interaction within corporate structure

·         Dedication to financial procedures

·         Flexible and adaptive team member willing to shift focus and assist other team members outside the primary scope of duties

·         Desire to continue learning and adapting new skills

·         Commitment to continually improving skills and knowledge to advance within the organization

·         Ability to bring new information, ideas, and practices to the team while also following direction and orders from management and leadership

·         Receptive to knowledge, ideas, experiences, and problem solving from team members while also being able to decide and stand behind decisions
