Graduate Medical Education (GME) Institutional Administrator NIH (Bethesda, MD)

We are looking for a Graduate Medical Education (GME) Institutional Administrator to provide administrative, accreditation, and program support for Graduate Medical Education programs at the NIH Clinical Center in Bethesda, MD.

This is a 5-year contract, full-time onsite role supporting the NIH Clinical Center in Bethesda, MD. Work will generally be performed Monday through Friday during normal NIH business hours. Occasional early morning, evening, or extended hours may be required.

This is a W2 role with Stage 4 Solutions. Health benefits and 401(k) are offered.

Responsibilities:

• Coordinate Graduate Medical Education accreditation activities and maintain documentation supporting compliance with Accreditation Council for Graduate Medical Education (ACGME) requirements.
• Support accreditation submissions and activities, including annual updates, new program applications, complement changes, Self-Studies, site visits, and other institutional accreditation requirements.
• Coordinate Graduate Medical Education Committee (GMEC) activities, including meetings, agendas, supporting materials, minutes, records, annual calendars, and follow-up on action items.
• Coordinate Annual Program Reviews and support institutional oversight of program accreditation status, Annual Program Evaluations, educational surveys, and responses to ACGME Review Committees.
• Support Annual Institutional Reviews (AIR), Special Reviews, accreditation monitoring, corrective action plans, and continuous quality improvement activities.
• Coordinate Clinical Fellow onboarding, appointments, orientation, and related administrative activities with Human Resources, Credentialing, Security and Badging, Benefits, Payroll, Occupational Medical Service, International Services, and other NIH offices.
• Maintain Clinical Fellow onboarding documentation, timelines, completion records, and institutional appointment materials.
• Maintain and support institutional GME policies, procedures, administrative guidance, and agreements of appointment and coordinate required reviews and updates.
• Maintain institutional GME databases and trainee management systems, support system users and training, and ensure the accuracy, security, and confidentiality of GME records and data.
• Develop and maintain standardized administrative workflows and support operational improvements, institutional action plans, accreditation readiness, and long-term compliance activities.
• Work closely with the Designated Institutional Official (DIO), Program Directors, Program Coordinators, Clinical Fellows, NIH Institutes and Centers, and institutional leadership to coordinate GME activities.
• Lead a forum for GME Program Coordinators and provide training and support related to institutional educational policies, procedures, and GME processes.
• Prepare required GME reports and maintain accurate, timely documentation while protecting confidential educational, personnel, medical, clinical, and institutional information.

Requirements:

• 1+ year of direct and progressively responsible experience in graduate medical education administration, academic medicine, healthcare administration, or a comparable environment.
• Experience supporting an ACGME-accredited residency or fellowship program, Sponsoring Institution, Designated Institutional Official (DIO), Graduate Medical Education Committee (GMEC), or equivalent educational governance structure.
• Knowledge of ACGME Institutional and Program Requirements and graduate medical education administration.
• Experience coordinating accreditation activities and regulatory compliance.
• Experience managing multiple priorities and maintaining strong attention to detail.
• Proficiency with Microsoft Office applications.
• Experience with GME management systems such as New Innovations, MedHub, ADS, or comparable systems is preferred.
• Bachelor's degree from an accredited institution in healthcare administration, higher education administration, business administration, public health, or a related field; master's degree is a plus.
• Ability to work effectively with diverse stakeholders and maintain confidential information with discretion.
