About This Role The payroll specialist is responsible for ensuring accurate processing and recording of the company’s payroll. This position will provide timely and accurate financial information, participate in daily data entry Payroll processing, and administering the applicable functions of the HRIS while complying with applicable federal, state, and organizational requirements. Essential Functions : Perform daily payroll department operations within the scope of the lost time database, as well as adjacent support for the employee Payroll & Benefits Specialist Collect and verify all documentation related to onboarding a member into the database for payroll processing Review timesheets with departments – bi-monthly Set up and manage member data inside of the payroll database Manage workflow to ensure all related payroll transactions are processed accurately and timely Reconcile payroll prior to transmission and validate confirmed reports Develop ad hoc financial and operational reporting as needed Work collaboratively with Accounting to process manual checks outside of payroll Benefits management for members who qualify, with support to the employee Payroll & Benefits Specialist as needed for benefits management Legal research as requested by General Counsel Research and support all departments related to member lost time, sharing information as needed and working as a collaborative partner in problem-solving HRIS Set up new members in HRIS. Update and maintain member profiles in the HRIS. Update and maintain federal and state tax information within the HRIS. Collect banking information for direct deposit. Reconcile new hire member paperwork. Update the HRIS to reflect pay rate changes for members. May be required to do political work for candidates and member political education as part of job duties. Other duties as assigned. Skills & Abilities : Strong PC skills, including proficiency in Excel. Working knowledge of UKG, ADP (legacy mapping), and the basic functionality of an HRIS system. Strong work ethic and team player. High degree of professionalism and pragmatism. Ability to deal sensitively with confidential material Strong interpersonal (verbal and written) communication skills. Ability to communicate with various levels of management effectively. Measurable decision-making, problem-solving, and analytical skills. A general sense of curiosity for establishing improvements as needed. Minimum Qualifications : ( Any equivalent combination of education and experience which provides the applicant with the knowledge, skills, and abilities required to perform the job may be considered .) Bachelor degree in Accounting, Finance, Business Administration, or a related field, or an equivalent combination of education and payroll experience. Four (4) to six (6) years’ experience processing multi-state payroll & union payroll. Working knowledge of payroll best practices. Familiarity with federal and state wage and hour laws, payroll tax regulations, and payroll compliance requirements. Preferred Qualifications Certified Payroll Professional (CPP) Experience using enterprise payroll and HRIS systems, such as UKG Knowledge of collective bargaining agreements and their impact on payroll, benefits, and lost time processing Typical Working Conditions : The typical working conditions described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Work requires a high degree of accuracy, confidentiality, and attention to detail while processing sensitive payroll and personnel information. Requires managing multiple priorities and strict payroll deadlines while ensuring compliance with organizational policies and applicable laws. Frequent use of payroll, HRIS, accounting, and reporting systems to process payroll, reconcile data, and respond to payroll-related inquiries. May be required work outside of normal business hours to include weekends, evenings, holidays, etc. Physical Working Conditions : The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this Job, requirements include: Work is primarily performed in an office or remote workstation environment with extended periods of computer and screen use. Frequent use of computers, telephones, payroll systems, and other standard office equipment requiring prolonged keyboard and mouse use. Extended periods of sitting with occasional standing, walking, and movement throughout the office for meetings and collaboration. May occasionally lift or carry files, office supplies, or equipment weighing up to 20 pounds. Requires sustained concentration and attention to detail while performing repetitive tasks and meeting established deadlines. Compensation : Providing current or previous salary information is optional and will not be factored into hiring decisions. Prospective Employees covered by the CBA can request a copy of the wage scale, the CBA, and any current relevant MOUs upon application to the position. This position is full-time, exempt. This position is not included in the Bargaining Unit. Pay ranges from $84,376 – $103,084 per year.
