The role

You'll wear two hats. As a marketing operations assistant, you help turn approved marketing strategy and creative direction into execution. You own the master marketing and content calendars end to end, coordinate across production, digital, CRM, outside partners and internal teams, track performance and make sure the right initiatives move forward for the right brand, on the right channel, on schedule, every week, without drama. As an executive assistant to the founders, you're the person who makes sure organizational initiatives actually get done, following up across teams until each one is implemented, not just assigned.

You are the connective tissue between the founders, internal teams, production, our publishing and CRM tools, outside partners and the initiatives that need to move from decision to done. If you like order, ownership, accountability and being the reason things actually ship on time, this is your role.

What you'll do — Marketing

• Own the weekly and phase-by-phase content calendar and keep it running on schedule.
• Turn approved marketing initiatives into clear deliverables, owners and deadlines, and follow through until execution is complete.
• Take finished content from the production team and schedule it across Instagram and LinkedIn for multiple brand accounts.
• Load and manage content banks in our social scheduler (SEMrush Social) via bulk upload; keep the queue full and accurate.
• Coordinate with the production team on what's needed next, and with outside partners (e.g. our sales brokerage) on anything project-specific.
• Coordinate with outside marketing partners, vendors and project-specific partners, such as our sales brokerage, to keep deliverables, approvals and deadlines moving.
• Maintain HubSpot marketing data and lead source tracking, helping ensure inbound inquiries are properly captured, categorized and routed to the appropriate person.
• Maintain the marketing scorecard and pull performance, campaign and inbound data from our marketing platforms and HubSpot into a clear monthly report for leadership.
• Track established marketing KPIs and flag meaningful changes, missed targets or execution gaps for leadership review.
• Maintain organized marketing files, campaign documentation, content banks, vendor information and performance history so information is easy to find and does not live with one person.
• Apply established brand and compliance guardrails to outward-facing marketing, catch anything that should not go out and route it for review.
• Stay ahead of the calendar, identify gaps before they become problems and proactively follow up with the people responsible for keeping marketing moving.

What you'll do — Executive

• Support the founders with day-to-day scheduling, coordination and follow-up, helping keep priorities organized and moving.
• Track organizational initiatives and action items; keep owners, deadlines and status organized, and follow up across teams until they're complete.
• Keep a clear view of what's in motion, flag delays or items that need attention, and close the loop with leadership on what's done and what's still outstanding.
• Help coordinate meetings and occasional executive logistics as needed, while handling company and executive information with discretion.

Must-haves

• Ruthless calendar discipline — you do not let scheduled things slip, and you catch the gap before it happens.
• Relentless follow-through — you hold others accountable to deadlines without friction, and nothing you're tracking quietly dies.
• Hands-on comfort with a social scheduling tool (Later, Buffer, Hootsuite, Sprout, or SEMrush) and a CRM (HubSpot or similar).
• Confident with spreadsheets — bulk uploads, tagging, filtering, light data work. Clear, low-friction communicator who can coordinate several teams without creating noise.
• Detail-obsessed — you notice the wrong caption, the missing tag, the off-brand image.

Nice-to-haves

• Background in real estate, homebuilding, architecture, or an agency serving them.
• Familiarity with AI tools for drafting and reporting.
• Familiarity with creative tools such as Canva and CapCut, with the ability to make minor content edits and adjustments as needed.
• Basic SEO awareness (we run a discovery track alongside social).
• An eye for design and storytelling, with enough understanding to maintain brand consistency and protect brand equity.

Salary Based on Experience: $66,000 - $88,000
