Position Title: Intake Supervisor

Hours: Full-time, must have weekend and holiday availability

Supervisor: Intake Manager

Classification: Non-exempt, Hourly

SUMMARY

The Intake Supervisor is responsible for assisting and supporting the Intake Manager in the day-to-day direction of the Intake Staff. They assist with daily tasks in the department, ensure that Intake staff members maintain the highest standards of animal care, and help coordinate the efficient flow of moving animals through the shelter. 

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES

The Intake Supervisor position requires a self-motivated individual who is compassionate, enthusiastic, open-minded and flexible. They must be able to provide supportive training and supervision and help ensure that staff members are adhering to best practices of animal care, following HSHV SOPs, and working effectively as a team. Requires problem-solving abilities, and ability to remain calm in stressful situations. Must remain personally accountable and open to feedback and change. Good interpersonal skills and the ability to address conflict sensitively is a must.

Experience in shelter operations with strong knowledge of animal care required. Minimum two years of supervisory experience in an animal welfare setting and Bachelor’s degree preferred. Must be or become certified in animal euthanasia.

An animal care facility can be an emotionally challenging, high-stress, rapidly changing, and high-demand environment. Feelings of grief and loss, secondary trauma, and compassion fatigue are not uncommon. As such, working at HSHV requires a high degree of emotional regulation and resilience; the ability to tolerate and manage stress; adaptability to change; empathy for both animals and people; and an overall positive outlook. 

DUTIES AND RESPONSIBILITIES

1. Provide leadership for the Intake staff when the Manager is offsite; liase between the staff and the manager.

1. Lead, alongside the Intake staff, in performing the daily duties of the shelter – including but not limited to- ensuring that animals are properly cared for, that the facility is kept clean and sanitary, and that Intake has customer care support.

1. Help coordinate, with ACT Supervisors, and the Animal Care Team, for the movement of animals throughout the shelter.

1. Facilitate intakes including:
   1. Answering questions regarding intake process for customers
   2. Assist Intake in making decisions regarding out-of-county situations, fee discounts, etc.
   3. Perform Intakes
   4. Provide Intake Technicians with support in assisting high-maintenance and difficult customers.

1. Assist the Intake Manager to train and motivate the staff so that they are well-supported and equipped to excel in their job duties. Emphasize great internal and extermal customer service and continual adherence to HSHV Standard Operating Procedures;
   1. Give feedback and identify and address ongoing needs for all staff as procedures change or retraining is warranted; Bring concerns to management;
   2. Keep updated on and ensure compliance with HSHV personnel policies. Bring serious issues to the attention of the Intake Manager.

1. Assist Manager in following-up on changes to policies and SOPs, after implementation of changes. Ensure new/changed practices are being followed, as directed by Manager.

1. Monitor and ensure adequate daily staffing.

1. Monitor the daily and other routinely scheduled maintenance, cleanliness and sanitation of Intake lobby and intake exam rooms-- focused on preventing the spread of disease, and consulting with other departments as appropriate.
2. Make sure Intake rooms are sufficiently stocked and assist in the procurement, placement and usage of purchased/donated supplies;

1. Run reports to check the accuracy of PetPoint Intake and Outcome records on a daily basis and as assigned by the Intake Manager. Report consistent irregularities to the Intake Manager;

1. Promptly write and distribute to appropriate individuals incident reports for accidents, injuries, and other concerns as detailed in personnel policies;

1. Promptly report serious concerns and problems to the Intake Manager;

1. Must be willing to learn and work as a Love Train Technician at least once every other month, or as needed for staffing. 

General

1. Be an effective liaison to the community, positively promoting HSHV’s mission, goals and philosophies;

1. Be an effective liason between departments at HSHV; Maintain good working relationships with staff (both intra- and inter-departmentally);

1. Be or become proficient in the use of shelter software, including PetPoint, SharePoint and ADP;

1. Be able to make corrections in PetPoint as appropriate;
2. Be familiar with SharePoint libraries and be able to access and consult SOPs as needed
3. Assist staff with ADP queries including time-off requests, and timecard changes 

1. Keep informed, abide by and exemplify agency policies and procedures.

1. Attend HSHV staff meetings.
2. Read email each assigned shift and respond as appropriate.

1. Other duties as assigned.

PHYSICAL DEMANDS

While performing this job, you will be required to continually walk, stand, squat, twist, and kneel, reach and grab with your hands and arms, in addition to being able to lift and move animals, materials and equipment weighing up to 60 lbs. You will need to be able to use a computer keyboard, mouse, monitor and telephone. You may occasionally need to use a ladder. Work is subject to frequent interruptions. You will be exposed to kennel/shelter setting, both indoors and outdoors while cleaning the shelter and rotating animals. You will be exposed to various weather conditions when working outdoors. You will be exposed to disinfectant solutions used in cleaning. You will be consistently exposed to animals and animal allergens, including animal hair, dander, saliva, fecal matter, urine, zoonotic diseases, fleas and other mites or bugs. You may also be subject to potential danger including parasites and infectious diseases, animal bites and scratches.

MENTAL DEMANDS

While performing this job, you will be regularly required to use written and oral communication skills; observe and interpret situations; analyze and solve problems; learn and apply new information and skills; perform repetitive work on multiple, concurrent tasks; fulfill deadlines; and interact with staff, the public, volunteers and others encountered in the course of work. You will be exposed to the pain and suffering of both animals and people, and must be able to handle occasional volatile situations.
