Facilities Manager

Essential Duties/Responsibilities

Team Leadership & Supervision

• Supervises Facilities Specialists by setting priorities and performance expectations, assigning and reviewing work, managing workload and service quality, coaching team members, conducting performance reviews, and contributing to hiring, recognition, and corrective-action decisions.

Branch Operations Support

• Serves as the primary Facilities contact for branch and department leaders by clarifying requests and coordinating escalations.
• Manages facility emergencies and disruptions by assessing safety and business impact, initiating approved interim controls, engaging vendors and internal partners, and communicating updates. Escalates decisions involving site closure, significant cost, regulatory exposure, enterprise security, or material business disruption to the Director of Facilities and other designated leaders.
• Conducts scheduled and as-needed branch visits to assess facility conditions, document operational and service needs, and verify completion of assigned follow-up actions.
• Oversees facility requests and work orders across all locations by prioritizing needs; monitoring request volume, time open, status accuracy, recurring issues, and closure quality; and ensuring documented service-level, communication, escalation, and resolution standards are met.

Compliance & Risk Management

• Monitors facility compliance requirements, maintains records, identifies gaps, coordinates remediation with the Director of Facilities, Security Manager, and other subject-matter owners, and escalates matters requiring legal interpretation, physical security decisions, or changes to enterprise standards.
• Leads a risk-based facility inspection and audit program by scheduling reviews, documenting findings, setting required response deadlines, escalating unresolved high-risk issues, and initiating the corrective-action process.
• Manages facility-related corrective actions from reviews, audits, inspections, and assessments by assigning or confirming accountable owners, tracking deadlines and completion evidence, escalating delays, and confirming resolution. Escalates issues requiring policy, security, legal, budget, or strategic decisions to the Director of Facilities or the appropriate subject-matter owner.
• Coordinates facility-related OSHA activities by maintaining records, supporting inspections and training, identifying hazards, and partnering with subject-matter owners on interpretation and remediation.
• Leads assigned facilities activities for business continuity, emergency preparedness, and disaster recovery under the Director of Facilities' oversight, including site procedures, drills, vulnerability assessments, and response and recovery support, while coordinating physical security components with the Security Manager.

Vendor & Contractor Management

• Oversees day-to-day performance of approved facilities vendors, contractors, and service providers by setting operational and service expectations, coordinating access and schedules, evaluating quality, responsiveness, timeliness, safety, and issue resolution, documenting deficiencies, coordinating corrective action, and escalating material contract, relationship, or operational concerns to the Director of Facilities.
• Solicits and evaluates proposals, reviews pricing and service terms, and recommends vendors within established procurement and approval requirements; routes material contract changes or negotiations to the Director of Facilities.
• Implements and oversees preventive maintenance and inspection programs aligned with the Director of Facilities' standards; monitors completion, addresses service gaps, maintains records, and recommends schedule changes based on condition, risk, and operational needs.
• Validates completed vendor and contractor work, confirms required documentation, identifies deficiencies, and recommends acceptance or approves completion within established approval limits when work meets contract requirements and Georgia United standards.

Facilities Administration

• Monitors spending against approved budgets, identifies variances, prepares forecasts, and recommends operating and project budget adjustments to the Director of Facilities.
• Maintains complete, accurate, and accessible operational records for maintenance, contracts, permits, warranties, and vendor documentation in accordance with retention and access standards.
• Develops and presents facilities metrics on work orders, preventive maintenance, vendor performance, risks, projects, and budgets to the Director of Facilities and other designated leaders; uses findings to recommend operational improvements and resource priorities.
• Leads assigned facility projects, including routine renovations, relocations, and openings, within approved scope, budget, schedule, and authority; coordinates stakeholders and vendors, manages risks, and confirms operational readiness.

Stakeholder Service & Communication

• Provides timely, professional facilities support by communicating priorities, next steps, and timing, and following through to resolution or handoff.
• Uses stakeholder feedback to identify and recommend preventive solutions before operations are disrupted.
