Avila University
Job Description
Job Description
POSITION SUMMARY
The Student Enrollment Advisor - Spanish Fluency and Hispanic Community Liaison serves as a key member of Avila University’s frontline recruitment and onboarding team and as the University’s primary admissions liaison to Spanish-speaking prospective students, families, schools, community organizations, and community partners.
This position is responsible for guiding prospective students from initial inquiry through enrollment while ensuring a responsive, informative, and student-first experience. Working in a fast-paced and goal-driven environment, the Advisor executes outreach campaigns, builds strong relationships with students and families, and manages an assigned caseload to support application completion, onboarding progress, and first-day readiness.
A central responsibility of this position is expanding Avila University’s engagement with the Spanish-speaking community. The Advisor will communicate Avila University’s admissions requirements, academic opportunities, financial aid information, enrollment processes, and student resources in Spanish; represent the University at high schools, community organizations, college fairs, and other events serving Spanish-speaking students and families; and provide Spanish-language interpretation and assistance to prospective students and families visiting campus.
Responsibilities:
- Manage a defined caseload of prospective students, guiding them through every stage of the recruitment funnel—from initial inquiry through enrollment—ensuring timely completion of the application, transcript submission, FAFSA, immunization records, required paperwork, housing, and other onboarding milestones.
- Monitor and track student progress through the application, financial aid, and onboarding process; proactively resolve barriers by collaborating with Financial Aid, Registrar, Student Life, Academic Advising, and other appropriate University offices.
- Engage family decision-makers by providing financial aid guidance, connecting them to campus resources, and offering support in completing all enrollment requirements.
- Communicate with Spanish-speaking prospective students and families throughout the recruitment and enrollment process in Spanish, ensuring that admissions requirements, deadlines, application procedures, financial aid information, enrollment requirements, and next steps are clearly understood.
- Present Avila University’s admissions requirements, academic opportunities, financial aid information, enrollment process, campus resources, and student experience in Spanish during individual meetings, group presentations, school visits, community events, and recruitment programs.
- Serve as a key liaison between Avila University and the Hispanic and Spanish-speaking community, building sustained relationships that increase awareness of and access to the University.
- Develop and maintain relationships with high school counselors, educators, community leaders, faith-based organizations, nonprofit organizations, businesses, cultural organizations, and other groups serving Spanish-speaking students and families.
- Identify opportunities for Avila University to participate in high school, community, cultural, educational, and organizational events focused on Hispanic and Spanish-speaking populations.
- Represent Avila University at Spanish-language and bilingual recruitment programs, college fairs, high school visits, community presentations, family programs, and organizational events.
- Provide Spanish-language interpretation and admissions-related translation assistance for prospective students and families during campus visits, appointments, recruitment events, admitted student programs, orientation activities, and other enrollment-related interactions.
- Assist Spanish-speaking families in navigating University offices and connecting with appropriate representatives in Admissions, Financial Aid, Registrar, Student Life, Academic Advising, and other campus departments.
- Help identify communication barriers, questions, concerns, and enrollment challenges experienced by Spanish-speaking students and families and communicate those insights to University leadership and appropriate campus departments.
- Support the development and review of Spanish-language recruitment and admissions communications to help ensure information provided to prospective students and families is understandable, accurate, consistent, and aligned with University messaging.
- Travel extensively to represent the University at in-person recruitment events, including high school visits, college fairs, community programs, and corporate or military sites. Overnight and weekend travel may be required to build strong connections with students, families, and community partners.
- Conduct outreach through multiple channels, including phone, text, video calls, email, and in-person meetings, with personalized and timely communication aligned with University messaging. Conduct outreach in Spanish when communicating with Spanish-speaking students and families as appropriate.
- Maintain accurate student records in the CRM system, documenting outreach, follow-up, student interactions, community engagement, and task completion to ensure transparency and accountability.
- Support on-campus recruitment and yield events, including campus tours, admitted student programs, and orientation sessions, requiring regular presence on campus in addition to travel duties.
- Provide Spanish-language support to students and families participating in campus tours, admissions appointments, admitted student programs, orientation sessions, and other University recruitment and enrollment activities.
- Meet or exceed recruitment performance benchmarks, including outreach volume, application completion, deposit rates, and enrollment yield.
- Contribute to recruitment goals associated with Avila University’s outreach to Hispanic and Spanish-speaking prospective students and families.
- Provide feedback and insights from travel, student interactions, community engagement, presentations, and caseload management to inform recruitment strategies and improve processes.
- Maintain regular communication with community partners and help identify opportunities to strengthen Avila University’s visibility and relationships within Spanish-speaking communities.
- Complete all University-required training and adhere to protocols for data privacy, equity, compliance, and student support.
- Perform other job-related duties as assigned.
Qualifications:
- Bachelor’s degree in Higher Education, Marketing, Communications, or a related field required.
- 1–3 years of experience in admissions, recruiting, institutional knowledge, student-facing enrollment services, community outreach, or a related area preferred.
- Professional fluency in both Spanish and English required, including the ability to speak, read, write, understand, and present information effectively in both languages.
- Ability to conduct individual and group admissions presentations in Spanish and clearly explain University admissions requirements, enrollment processes, financial aid information, and student resources to prospective students and families.
- Ability to communicate effectively with Spanish-speaking parents and family members and provide Spanish-language assistance during campus visits and enrollment-related interactions.
- Demonstrated ability to establish and maintain relationships with high schools, counselors, community organizations, families, and community leaders.
- Knowledge of or experience working with Hispanic and Spanish-speaking communities preferred.
- Demonstrated ability to meet and exceed performance or recruitment goals, with a proven track record of achieving metrics on a regular basis.
- Excellent communication and customer service skills across multiple platforms.
- Strong presentation, interpersonal, relationship-building, and public-speaking skills.
- Strong organizational skills and the ability to manage a large caseload independently.
- Proficiency in CRM systems, data entry, and task tracking.
- Ability to adapt to a fast-paced, goal-oriented environment while maintaining a student-first approach.
- Willingness and ability to travel locally to schools, businesses, community organizations, recruitment events, and other locations as part of recruitment and outreach activities.
- On-campus presence required; this is not a remote position.
- Ability to work independently while contributing effectively within a strong team environment.
- Ability to work a flexible schedule, including evenings and weekends when required for recruitment, community, and University events.
- Ability to contribute to a climate that supports a diverse student body, serves first-generation college students and multilingual learners, and contributes to equity and social justice through their work.
Successful candidates should be committed to contributing to a climate that supports a diverse student body, serves first-generation college students, multilingual learners, and contributions to equity and social justice through their work.
