Chabad of Flagstaff is a vibrant Jewish nonprofit organization dedicated to creating a warm, welcoming environment where people of all backgrounds can connect, learn, and grow. Our small, collaborative team works together to serve the community through educational programs, holiday events, social services, and preschool programming.
We're looking for an organized, friendly, and dependable Office Coordinator to help keep our office running smoothly and support the day-to-day administrative operations of the organization.
Position Overview
The Office Coordinator serves as the first point of contact for visitors, callers, and community members while providing administrative support across multiple departments. This role is ideal for someone who enjoys organization, customer service, data management, and helping a mission-driven organization operate efficiently.
The right candidate is detail-oriented, proactive, comfortable juggling multiple priorities, and willing to step in wherever needed.
Key Responsibilities
Office Administration
- Answer incoming phone calls, return voicemails, and greet visitors in a warm and professional manner
- Monitor and respond to general organization email inboxes
- Process incoming mail and maintain organized office records
- Print materials and assist staff members with administrative projects
- Order office supplies and help maintain an organized workspace
Data Management & Administrative Support
- Maintain accurate records within the organization's CRM and databases
- Enter and update donor, volunteer, participant, and constituent records
- Assist with donation processing and donor acknowledgment tracking
- Enter expenses and other data into QuickBooks as needed
- Maintain spreadsheets, reports, and organizational records
- Support annual projects such as the Community Art Calendar
Program Support
- Track RSVPs and registration information for programs and events
- Assist with holiday delivery coordination, including volunteer assignments and route preparation
- Occasionally substitute in our preschool program when staffing coverage is needed
General Support
- Support organizational projects and operational initiatives as needed
- Support team members with special projects and administrative needs
- Take initiative to identify tasks that need attention and help keep operations running smoothly
- Other duties as assigned
Qualifications
- Previous experience in an administrative, office, receptionist, or customer service role
- Strong organizational skills and attention to detail
- Excellent written and verbal communication skills
- Comfortable working with Google Workspace, Microsoft Office, and database systems
- Experience with QuickBooks is preferred but not required
- Ability to manage multiple tasks and shifting priorities
- Positive attitude, strong work ethic, and willingness to help wherever needed
- Ability to work independently while collaborating effectively with a small team
Schedule & Compensation
Schedule: Monday–Thursday, 11:00 AM – 4:00 PM
Additional Hours: Occasional additional hours may be available during busy seasons, holiday periods, or special projects.
Starting Wage: $20 per hour
