Executive Assistant / Real Estate Operations Coordinator Luxury Real Estate | Palm Beach Gardens, FL Florida real estate experience and/or an active real estate license is required What You’ll Do Serve as the primary operational and administrative partner to a busy luxury real estate professional Manage calendars, appointments, meetings, deadlines, and daily priorities Help organize and track active listings, buyers, pending transactions, and follow-up items Coordinate with clients, vendors, photographers, stagers, inspectors, title companies, agents, and other partners Support listing preparation, launch timelines, showing coordination, open houses, and property-related logistics Assist with transaction documentation, deadlines, files, and communication throughout the contract‑to‑close process Maintain organized digital files, records, checklists, and internal systems Manage client follow‑up and help ensure communication is timely, professional, and consistent Support CRM and database organization, including contact updates, follow‑up tasks, and client relationship initiatives Assist with email management, correspondence, scheduling, and general executive support Coordinate gifts, events, mailings, client touches, and special projects Help identify opportunities to improve processes, organization, efficiency, and overall workflow Step in wherever needed with a flexible, solutions‑oriented mindset What We’re Looking For Exceptionally organized and detail‑oriented Proactive and able to anticipate needs before being asked Comfortable working independently and taking ownership Highly responsive, dependable, and accountable Polished and professional when interacting with luxury clients Able to manage multiple priorities without losing attention to detail Discreet and trustworthy with confidential client and business information Comfortable in a fast‑moving environment where priorities can change quickly Strong in written and verbal communication Tech‑savvy and able to learn new systems quickly Resourceful, calm under pressure, and naturally solutions‑oriented Interested in becoming a trusted long‑term partner rather than simply completing assigned tasks Preferred Background Previous experience supporting a successful real estate agent, broker, entrepreneur, executive, or similarly fast‑paced professional Experience in real estate operations, transaction coordination, executive assistance, client service, or business operations Familiarity with real estate contracts, listings, transactions, and closing processes is strongly preferred Experience supporting high‑net‑worth or high‑touch clientele is a plus #J-18808-Ljbffr
