Sr. Legal Receptionist Bilingual

We are seeking an experienced, Senior Legal Receptionist Bilingual to manage front desk operations and serve as the first point of contact for clients, visitors, vendors, and internal team members.
The ideal candidate must have prior experience working in a law firm, legal office, or as a legal receptionist. This position requires exceptional customer service experience , discretion, professionalism, organization, and the ability to manage sensitive client interactions in a fast-paced environment.
Core Responsibilities:
Front Desk and Client Service:
- Greet clients, visitors, and third parties with professionalism, discretion, empathy, and composure.
- Answer and route incoming calls accurately while assisting in-office visitors.
- Respond to general client inquiries and direct case-related questions to the appropriate team without providing legal advice or unauthorized information.
- Schedule consultations and coordinate calendars, appointments, and conference room availability.
- Communicate appointment details, documentation requirements, and approved next steps clearly in English and Spanish.
- Document and follow up on client requests to ensure timely and accurate responses.
Mail, Packages, and Office Operations:
- Receive, sort, scan, log, distribute, and deliver incoming mail to the appropriate departments or individuals.
- Track incoming packages and ensure recipients are notified promptly.
- Prepare, package, label, and send outgoing correspondence and materials using approved mailing and courier procedures.
- Maintain accurate mail, package, courier, and delivery records.
- Coordinate with delivery services, couriers, vendors, and building personnel as needed
Administrative Support:
- Provide administrative and clerical support to attorneys, legal teams, and other departments.
- Maintain accurate calendars, visitor records, messages, appointment information, and internal documentation.
- Protect confidential firm, employee, and client information.
- Follow established legal-office procedures and escalate concerns appropriately.
- Perform additional duties as assigned.
Required Qualifications:
- Minimum of 3 years of receptionist, front desk, administrative support, or customer service experience in a professional office environment.
- Professional fluency in English and Spanish is required.
- Prior experience working in a law firm, legal office, or legal receptionist position is required.
- Strong customer service background, including experience assisting demanding, frustrated, or emotionally distressed clients.
- Strong written and verbal communication skills in both languages.
- Experience managing high call volumes, visitors, calendars, appointments, and competing priorities.
- Excellent organizational, time-management, and follow-up skills.
- Proficiency with Google Workspace, including Gmail, Calendar, Docs, and Sheets.
- Professional appearance, demeanor, and telephone etiquette.
