Administrative Assistant - Main Office - support for President and Principal Bishop Shanahan High School 220 Woodbine Road Downingtown, PA 19335 Position Summary This role serves as the critical administrative support for the main office, President and Principal of Bishop Shanahan High School. The successful candidate will routinely and effectively communicate and interface with all levels of the organization from staff to executive leadership working within a Catholic environment where Catholic values define the words and actions of all. The ideal candidate will be dynamic and energetic with a demonstrated ability to work with little oversight/direction while handling and maintaining confidential information and exercising discretion/discernment in handling related office and school matters at all times. This role requires professionalism, organization, and effective communication. They will demonstrate the ability to use multiple educational platforms for a variety of tasks throughout the year and have a high level of comfortability with technology and using technological applications to streamline work, policies, and procedures. Duties And Responsibilities Prepare and compose internal and external correspondence with appropriate follow-up and prepared responsiveness. Organize and maintain records while exercising the utmost confidentiality in handling. Communicate with various internal departments to coordinate projects and/or activities and work closely with external parties in administrative matters. Anticipate and execute various duties as required to effectively support the team. Complete required documentation to assist in scheduling for future incoming students and transfer students. Open, read, and distribute all incoming mail. Work with the President and Principal on purchasing of items Perform general office duties, including answering multi-line phones, routing telephone calls or messages to appropriate staff, take messages, transfer calls to appropriate individuals, handle their inquiries, and direct them to the appropriate persons according to their needs. Complete all state purchases that are made in our NPIS system as directed by the principal or his designee. Schedule meetings for the President and Principal with parents, students, and community members as needed. Maintain a good working relationship with Administration, Faculty, and Staff, as well as the students and families of Bishop Shanahan High School. Stay up to date on current school happenings and the school calendar in order to answer any questions that might arise, and to share the appropriate information when needed. Operate office equipment such as fax machines, copiers, phone systems, and use computers for spreadsheets, word processing, database management and other applications. Responsible for being knowledgeable and implementing the mission of Bishop Shanahan High School. Coordinate Parking for Junior and Senior students and faculty and staff Other duties as assigned by the President and Principal. Qualifications: (Education/Training and Experience Required) High School Diploma/GED is required, bachelor’s degree or related field preferred. At least 6 mo experience in customer service or administrative assistant, preferably in a school environment Must be flexible and able to handle constant interruptions and be open to helping other offices as needed. Experience with PowerSchool, Schoology, Constant Contact, Final Site and NPIS and other school centric programs preferred. Skills Excellent written and oral communication skills. Strong organizational skills, work efficiently, juggle tasks simultaneously, meet deadlines, and achieve goals. Strong motivation skills. Ability to work productively and positively with staff, students, parents, alumni, and community. Able to keep confidential information confidential and present support for the school and administration to parents, students and community members Must be attentive to details and have the ability to manage several projects at once. Ability to work autonomously without extensive oversight or direction and work independently. Proficient in Microsoft Office Suite and Google Suite. Administrative Assistant to the President and Principal is a 12-month position. The deadline for application is September 24,2026. Interviews will be granted to the most qualified applicants. PA required clearances, Safe Environment clearances, and official transcripts will be required before employment can begin.
