The work is performed under the general direction and supervision of the City's Director of Resident Services but considerable leeway is granted for the exercise of independent judgment and initiative. While this work does not involve supervision over the work of other employees, the nature of the work performed requires that an employee in this class establish and maintain close cooperative working relationships with supervisors and other City employees in most City departments and divisions.

Essential Job Functions

Administrative Support for Resident Services, including but not limited to, Accounts Payable (A/P), payroll, new hire onboarding (coordinating start dates, tracking pre-employment processing, sending notices to candidates); operating and maintaining systems and platforms necessary for departmental operations.

Special Event Operations – Works with Resident Services Specialists to ensure successful production of special events.

Customer Service – provides internal and external customer service support for departmental operations including, but not limited to property maintenance code enforcement, special events, curbside refuse and recycling collection.

Staff Liaison for Boards & Commissions – Coordinates meetings for Boards and Commissions relative to property maintenance code enforcement including, but not limited to the following duties; sending legal notices, creating agendas, attend meetings, swearing-in witnesses, compiling meeting minutes for approval by board, scanning all documentation and maintaining files.

Assist City departments and special events as requested and approved by supervisor.

Performs related work as required.

Skills/Knowledges/Abilities

Knowledge of.net, Citrix, Govern, Cityworks, GIS, Cityview, and Kronos.

Knowledge of invoicing and payroll practices.

Knowledge of local government board/committee/commission operations.

Knowledge of local government operations to appropriately support customer service operations.

Ability to use logical and creative thought processes to develop solutions according to written specifications and/or oral instructions;

Ability to communicate well with supervisory personnel, employees, and the public.

Ability to operate a personal computer using standard word processing, database applications and other applications appropriate to assigned duties.

Ability to perform a wide variety of technical tasks with accuracy and speed under the pressure of time-sensitive deadlines.

Ability to quickly learn and put to use new skills and knowledge brought about by rapidly changing information and technology.

Ingenuity and inventiveness in the performance of assigned tasks.

Ability to keep records, prepare, and submit reports.

Training/Education/Qualifications

Minimum Qualifications:

• Graduation from a college or university of recognized standing with a Bachelor's Degree; or
• Two (2) years of work experience in Resident Services Department.

Preferred Qualifications:

• Graduation from a college or university of recognized standing with a Master's Degree.

The City offers comprehensive medical, dental, and vision insurance coverage. The medical plan is a High Deductible Health Plan (HDHP) with a Health Savings Account (HSA) to help cover eligible healthcare expenses. Health insurance coverage begins on your date of hire.

For many employee groups, the City provides 17 days (136 hours/year) of paid holiday leave. These include: New Year's Day, Martin Luther King Day, Good Friday, Memorial Day, Independence Day, Labor Day, Thanksgiving Day and the Friday after, Christmas Eve Day, Christmas Day and New Year's Eve.

After six months of employment, employees are eligible for $10,000 coverage under our group life insurance policy. Additional coverage up to the employee's annual salary ($40,000 maximum) may be purchased. Upon retirement this coverage will be reduced to $4,000. The premiums will be paid by the City.

Life insurance (term and whole life), critical illness/cancer, accident, short / long term disability insurance

This plan allows employees to build a financial reserve for retirement by using pre-tax, payroll deducted contributions. This money is held and invested by the plan's trustees in options selected by the employee. Risk levels vary depending on the options chosen. Participation is voluntary.

The Ohio Public Employees Retirement System (OPERS) and the Police and Fire Disability and Pension Fund (PFDPF) are the two plans available to City employees. Both are established by Ohio law and participation is required. Both the employee and the City of Hamilton contribute a percentage (pre-tax) into the system. Members do not pay into the Federal Social Security System. Employees and the City also contribute to Medicare.
