HR Representative (on-site)

At Houston Methodist, the Human Resources (HR) Representative position is responsible for providing day‑to‑day human resources support and is generally the first point of contact for general inquiries in the department which includes phone calls, greeting visitors, parking, and delivering exceptional customer service assistance. The HR Representative conducts intake of information, supports the onboarding process, forms processing, and data entry requiring a high degree of accuracy and compliance with Houston Methodist policies and regulatory agencies. This position may provide assistance to HR management, the immigration team, generalists and recruiters as appropriate.

QUALIFICATIONS

Education: High School diploma or equivalent education (examples include: GED, verification of homeschool equivalency, partial or full completion of post‑secondary education, etc.) Experience: One year customer service or a combination of human resources, and/or other professional experience. Houston Methodist volunteer experience may be considered as customer service experience. Hospital experience preferred. Skills and Abilities: Demonstrated skills and competencies necessary to safely perform job duties, assessed through ongoing skill competency assessments and performance evaluations. Proficient speaking, reading, and writing in English necessary for the essential functions, especially concerning patient or employee safety or security. Effective communication with patients, physicians, family members and co‑workers in a customer‑service focused manner with positive language principles. High maturity, self‑confidence, and decision‑making ability. Professional demeanor at all times. Ability to work with peers in a team situation. Professional handling of confidential/sensitive information. Relationship‑building skills; ability to partner with recruitment teams and management. Attention to detail and accuracy. Proficiency in manipulating data using Microsoft Office products. Ability to coordinate multiple assignments amid substantial interruptions. Flexible and adaptable to change without reservation.

ESSENTIAL FUNCTIONS

People Essential Functions Understand candidate and client experience to effectively manage applicant and client expectations; proactively communicate to team any issues or obstacles that may interfere with meeting deliverables; respond quickly to applicant and client needs and concerns. Respond rehire requirements for background, drug screen, learning modules, I‑9 compliance, etc., within scope of the department responsibilities. Receive and screen employees/applicants and telephone calls professionally and courteously and handle general inquiries in a timely and professional manner. Assist with department events such as employee meals, gift distribution, service awards, recruitment fairs, learning sessions, etc. Contribute toward improvement of department scores for employee engagement, i.e., peer‑to‑peer accountability. Service Essential Functions Perform onboarding activities within the scope of department responsibilities, including processing new hires and transfers, ensuring electronic and paper‑required documents associated with applicant pre‑hire are complete and in compliance with policies and regulatory agencies. Process non‑employees (volunteers, students, observers, etc.) accurately and efficiently. Liaison for employee records/file management workflow and resolve accordingly. Perform administrative tasks and duties as appropriate; maintain a professional work space. Process invoices, purchase orders, and manage corporate purchasing card within assigned responsibilities, budget, and timeline; ensure approval and payment by monitoring transactions. Quality/Safety Essential Functions Ensure accuracy and compliance of data within applicable HR or other systems used by the department; review data entered, verify required supporting documents are received; respond to requests for employee file documents (including subpoenas). Actively participate in organizing the workflow; prioritize work and independently resolve routine issues; identify and Escalate issues and opportunities for improvement. Finance Essential Functions Use resources efficiently; avoid wasteful supply usage; inventory and order office supplies per department standards; assist with routine equipment troubleshooting. Manage time effectively, prioritize daily tasks, minimize incidental overtime; help other team members. Growth/Innovation Essential Functions Adapt quickly to changes in systems, process, or policy; shift workload focus based on highest priority needs; follow up on action items to ensure completion of assignments. Identify and assume responsibility for own learning needs; seek continuing education opportunities; complete and update My Development Plan on an ongoing basis; engage in career discussions with appropriate management.
