Sales and Marketing Coordinator

The Sales & Marketing Coordinator supports sales, marketing, customer engagement, and brand initiatives across Shanna Collective’s growing portfolio, with an initial primary focus on Four Seasons Private Residences Jacksonville. This role will coordinate sales administration, CRM management, marketing campaigns, events, broker and prospect communications, and project-specific materials while helping ensure that each initiative is executed professionally, efficiently, and in alignment with Shanna Collective’s brand standards and business objectives. The role will also support additional development, hospitality, residential, placemaking, and brand initiatives. Support the sales team with administrative and coordination activities. Maintain appointment schedules and sales presentation calendars. Prepare sales materials, pricing packages, presentations, and floor plans. Update inventory reports, pricing schedules, and sales documentation. Enter, maintain, and update prospect and purchaser information within the CRM system. Track registrations, leads, and customer inquiries. Generate sales reports and sales activity summaries. Maintain accurate customer records and databases. Coordinate follow-up communications with prospects and purchasers. Ensure sales presentation spaces and materials are prepared for appointments. 2. Marketing Coordination Coordinate production and distribution of marketing collateral, brochures, presentations, signage, and promotional materials. Assist with maintaining brand consistency across marketing materials. Coordinate website updates and digital marketing content with external consultants and internal stakeholders. Support social media content scheduling and campaign coordination. Track marketing deliverables, approvals, and deadlines. Assist in reviewing and proofreading marketing materials. Maintain inventories of marketing and sales materials. Support advertising campaigns, promotional initiatives, and lead-generation activities. Prepare marketing activity reports and status updates. Respond to general sales and marketing inquiries. Coordinate communications with prospective purchasers and broker partners. Support customer service and follow-up initiatives. Prepare correspondence, email communications, and client updates. Assist with maintaining prospect and broker contact databases. 4. Events & Promotions Coordinate event invitations, RSVPs, and guest registration. Assist with event planning, logistics, and material preparation. Coordinate with vendors and event partners. Maintain attendee records and CRM updates following events. Support event setup and execution as required. Assist with post-event reporting and lead tracking. Qualifications 1. Education & Experience Diploma or degree in Business Administration, Marketing, Communications, Real Estate, or a related field. 2-4 years of experience in sales coordination, marketing support, customer service, or related roles. Experience in real estate, development, homebuilding, or related industries is considered an asset. Strong organizational and coordination skills. Proficiency with Microsoft Office and CRM platforms. Experience supporting marketing campaigns and sales initiatives. Strong attention to detail and ability to manage multiple priorities. Customer-focused and professional. Self-motivated and team-oriented. Ability to thrive in a fast-paced environment.
