Job Description

The Manager of Vendor Relationships oversees and optimizes all third‑party facilities service vendors across a college campus environment. This role ensures that HVAC, boilers, landscaping, custodial, electrical, plumbing, and life safety contractors deliver high-quality services in compliance with contracts, budgets, and campus standards. The manager uses a CMMS platform to coordinate preventative maintenance, track work orders, and support efficient, safe, and reliable campus operations.

Responsibilities

• Develop and maintain strategic partnerships with facilities service vendors to ensure high service levels and cost-effective solutions.
• Manage vendor contracts, renewals, and service agreements, ensuring that terms, performance expectations, and service levels are clearly defined and enforced.
• Establish, monitor, and refine vendor performance metrics to evaluate service quality, responsiveness, and compliance.
• Coordinate campus-wide preventative maintenance programs and ensure vendors adhere to established schedules and work plans.
• Partner with Procurement and Finance teams to review bids, negotiate pricing, and manage service-related budgets and expenditures.
• Conduct regular site walks and vendor audits to verify work quality, adherence to scope, and compliance with campus standards and policies.
• Track service requests, maintenance activities, and vendor performance using the CMMS system, ensuring accurate documentation and timely completion of work orders.
• Support campus capital improvement projects by coordinating contractor access, scheduling, and communication with relevant stakeholders.
• Ensure all vendors maintain appropriate licensing, insurance, and safety certifications, and verify documentation on a regular basis.
• Analyze vendor spend and performance data to identify cost-saving opportunities and process improvements, and provide recommendations to leadership.
• Collaborate closely with Facilities, Operations, Public Safety, Residence Life, and other campus stakeholders to align vendor services with operational needs and customer expectations.
• Balance customer service, vendor accountability, and operational efficiency when resolving issues, addressing complaints, and prioritizing work.
• Promote consistent use of the CMMS platform across facilities operations to enhance transparency, reporting, and decision-making.

Essential Skills

• Proven experience managing multiple service vendors in a college, university, healthcare, commercial real estate, or large campus environment.
• Strong understanding of facilities operations, including HVAC, boilers, landscaping, plumbing, electrical, life safety systems, and custodial services.
• Hands-on experience with CMMS platforms, including work order management and preventative maintenance programs.
• Demonstrated ability to balance customer service, vendor accountability, and operational efficiency in a complex facilities setting.
• Strong organizational skills with the ability to manage multiple contracts, schedules, and priorities simultaneously.
• Excellent communication skills, with the ability to collaborate effectively with vendors, internal departments, and campus stakeholders.
• Proficiency in contract management, including reviewing terms, monitoring compliance, and supporting negotiations.
• Comfort working in a school or campus environment with diverse operational needs.

Additional Skills & Qualifications

• Experience in facilities management, campus operations, property management, or engineering management.
• Experience in roles such as Facilities Manager, Facilities Operations Manager, Building Operations Manager, Facilities Supervisor, Facilities Project Manager, Vendor Manager, Property Operations Manager, Campus Facilities Manager, Engineering Manager, Chief Engineer, or similar positions.
• Familiarity with vendor performance metrics and reporting tools.
• Ability to collaborate with cross-functional teams, including Campus Operations, Property Management, and Project Coordination.
• Strong analytical skills to interpret vendor spend and performance data and translate insights into actionable recommendations.

Work Environment

This role is based in a school campus setting and follows a standard first-shift schedule, Monday through Friday, from 9:00 AM to 5:00 PM. After a successful onboarding and training period, there is an opportunity to work remotely one day per week, offering a degree of flexibility while maintaining strong on-site presence. The position involves regular interaction with campus facilities, operations, and public safety teams, as well as frequent site walks to inspect vendor work and campus infrastructure. Work is primarily conducted in an office environment with routine use of a CMMS system and other standard business technologies, combined with on-campus field work in mechanical rooms, building interiors, and outdoor campus areas.

Pay and Benefits

The pay range for this position is $100000.00 - $120000.00/yr.
