Payroll Implementation SpecialistBrabo is seeking a highly organized, detail-oriented Payroll Implementation Specialist to lead new payroll clients through the implementation process from the point of sale through their successful transition to our ongoing service team. This position serves as the critical bridge between Sales, Paylocity, the client, and Brabo's Payroll & HRIS service team. The Implementation Specialist is responsible for keeping each implementation moving forward, gathering and validating required information, coordinating system setup, identifying discrepancies before payroll goes live, educating clients on their new platform, and ensuring the account is fully prepared before being transitioned to ongoing service. The ideal candidate is comfortable managing multiple implementations at different stages, enjoys working directly with clients, has strong attention to detail, and understands that a successful implementation requires both technical accuracy and strong communication.New Client Implementation & Project OwnershipTake ownership of new payroll implementations following the completion of the sales processReview sales orders, implementation documentation, and client requirements for completeness and accuracyConduct new-client welcome calls and establish implementation timelines, expectations, responsibilities, and next stepsServe as the primary Brabo point of contact throughout the implementation processCoordinate implementation activity between the client, Brabo Sales, Paylocity implementation representatives, and Brabo's internal service teamsTrack outstanding items, follow up with clients and partners, and proactively address issues that could delay implementationMaintain accurate implementation documentation, notes, status updates, and internal recordsEnsure all required implementation steps are completed before releasing an account to the ongoing service teamPayroll & Tax Setup ReviewReview federal, state, and local payroll tax information for accuracy and completenessValidate federal EIN information, filing frequency, state withholding accounts, unemployment accounts and rates, and applicable paid family and medical leave accountsIdentify missing registrations or tax information and coordinate necessary follow-upReview employee demographic and payroll information, including Social Security numbers, addresses, dates of hire, compensation, tax status, direct deposit information, deductions, and garnishmentsReview payroll schedules, pay frequencies, check dates, processing cycles, and funding requirementsReview earning and deduction code setup, including pre-tax and post-tax treatmentCoordinate setup requirements for multi-state employers and employeesReview applicable PTO and sick-time policies and coordinate configuration within PaylocityIdentify special payroll considerations including tipped employees, multiple rates or jobs, retirement plans, workers' compensation, and other client-specific requirementsSystem Configuration & Quality AssuranceWork directly with Paylocity implementation representatives to ensure client accounts are configured according to the information providedReview system configuration against client requirements and submitted documentationValidate employee data and system setup before the first live payrollConduct detailed mock payroll reviews to identify discrepancies before go-liveValidate items such as employee taxes, compensation, direct deposit, deductions, retirement contributions and employer matches, salary auto-pay, and other payroll calculationsEscalate discrepancies and coordinate corrections with Paylocity, the client, and internal Brabo resourcesConfirm required administrative access, reporting, delivery preferences, banking information, and client settings are established correctlyMaintain detailed payroll process documentation and relevant client notes for the ongoing service teamClient Training & Payroll LaunchGuide clients through their initial Paylocity login and system orientationTrain clients on employee profiles, payroll processing, payroll reports, and other core system functionsCoordinate and support the client's first live payrollReview the first payroll for accuracy and address outstanding questions or configuration issuesConduct a second payroll session designed to transition more responsibility to the client while providing support and oversightConfirm the client is comfortable with their payroll process before transitioning the account to ongoing serviceProvide clear follow-up communication, resources, and next steps throughout the implementationHRIS Modules & Additional ServicesDepending on the client's services, assist with the implementation and rollout of additional Paylocity functionality, including:Time & LaborPTO and accrual trackingExpense ManagementGeneral Ledger integrations401(k) integrationsLearning ManagementEmployee onboarding and self-serviceReportingCompensationData InsightsRecognition & RewardsSurveysWorkflows & DocumentsCoordinate with internal subject matter experts and Paylocity resources when specialized configuration or additional support is required.Sales & Service Team CoordinationPartner closely with Sales to ensure commitments made during the sales process are accurately reflected in implementationIdentify missing or conflicting information early and communicate clearly with the appropriate partiesKeep Sales informed of significant implementation issues when necessaryPrepare the account for a clean transition to the Payroll & HRIS service teamProvide the service team with complete documentation regarding payroll processes, client preferences, outstanding items, special configurations, and other important account informationConduct a formal implementation handoff once the client has successfully completed the required payroll launch processParticipate in internal meetings and process improvement initiatives related to client onboarding and implementationRequirementsQualifications2+ years of experience in payroll, HRIS, payroll implementation, client onboarding, or a related field preferredExperience with Paylocity or a comparable payroll/HRIS platform strongly preferredWorking knowledge of payroll processing, payroll taxes, deductions, direct deposit, and employee payroll dataStrong project management and organizational skills with the ability to manage multiple client implementations simultaneouslyExceptional attention to detail and ability to identify inconsistencies in payroll and employee dataStrong written and verbal communication skillsComfortable leading client meetings, training sessions, and payroll walkthroughsAbility to manage deadlines and follow up consistently with clients, vendors, and internal teamsStrong problem-solving skills and willingness to investigate issues through resolutionProficiency with Microsoft Office, Google Workspace, CRM systems, and business software platformsExperience with Salesforce and Monday.com is a plusFPC or CPP certification is
