Position Overview

The Senior Staff Accountant is responsible for performing advanced accounting functions and supporting the financial management of a portfolio of homeowners' associations (HOAs) and condominium associations. This position provides oversight of financial records, general ledger activity, reconciliations, monthly financial reporting, budgeting, and accounting processes. The Senior Staff Accountant serves as a resource to Property Accountants, Community Association Managers, and Board of Directors, ensuring accurate and timely financial information while maintaining compliance with company policies, accounting standards, and association governing documents.

Key Responsibilities

• Prepare, review, and analyze accurate monthly financial statements for assigned homeowners and condominium associations.
• Maintain and review general ledger accounts, bank accounts, investment accounts, and other balance sheet accounts.
• Review journal entries and ensure proper classification and recording of financial transactions.
• Review and reconcile accounts payable, accounts receivable, cash activity, and other accounting records.
• Perform complex account reconciliations and research and resolve discrepancies in a timely manner.
• Assist with annual budget preparation, reserve funding projections, and financial forecasting.
• Coordinate and perform month-end and year-end closing activities, ensuring all financial records are complete and accurate.
• Analyze financial data and identify trends, discrepancies, unusual activity, and potential accounting issues.
• Review financial reports and accounting work prepared by Property Accountants for accuracy and compliance.
• Provide guidance and support to Property Accountants regarding accounting procedures, reconciliations, financial reporting, and problem resolution.
• Assist with annual audits, reviews, and tax preparation by preparing and providing required financial documentation.
• Ensure compliance with GAAP, company policies, internal controls, and association governing documents.
• Work closely with Community Association Managers to resolve accounting questions, financial issues, and reporting discrepancies.
• Communicate professionally and timely with Board members, homeowners, auditors, vendors, and management regarding financial inquiries.
• Maintain organized and accurate accounting records and supporting documentation.
• Identify opportunities to improve accounting processes, procedures, and internal controls.
• Assist with training and mentoring Property Accountants and other accounting team members as needed.
• Assist with special projects, financial analysis, and other accounting initiatives.
• Other duties as assigned.

Qualifications

• High School Diploma required

• Bachelor’s degree in Accounting, Finance, or related field preferred.
• Minimum of 2 to 3 years of progressive accounting experience; property management, HOA & condominium required
• Active Florida driver’s License requires
• Strong knowledge of Generally Accepted Accounting Principles (GAAP).
• Demonstrated experience with general ledger accounting, financial reporting, account reconciliations, and month-end closing processes.
• Experience with accounting software and Microsoft Office Suite, particularly Excel.
• CINC software preferred.
• Strong analytical, organizational, and problem-solving skills.
• Excellent attention to detail and accuracy.
• Ability to review financial information, identify discrepancies, and recommend appropriate resolutions.
• Ability to manage multiple associations, prioritize competing responsibilities, and meet strict deadlines.
• Strong written and verbal communication skills.
• Ability to provide guidance and support to accounting team members.
• Ability to work independently and collaboratively in a team environment.
• Strong understanding of internal controls and financial reporting processes.

Physical Requirements

• Ability to sit for extended periods while working at a computer.
• Ability to use standard office equipment, including computers, printers, and telephones.
• Ability to occasionally lift and carry up to 20 pounds.
• Ability to travel occasionally to company offices or association properties, if required.
• Ability to perform repetitive hand and wrist movements associated with computer use.
