Summary The Executive Assistant, E3, reports to executive leaders at the Vice President level and is critical in supporting senior leadership administrative functions over large departments or functional areas. This position requires exceptional organizational skills, attention to detail, and the ability to manage a wide range of tasks with discretion and professionalism. The Executive Assistant serves as the primary point of contact for internal and external stakeholders and must exercise a high level of confidentiality and diplomacy as a representative of the university. Responsibilities Serves as a liaison between senior leadership and internal/external audiences, coordinating communication with stakeholders including university leadership, faculty, staff, students, and external parties. Manages senior leadership calendar, including scheduling appointments, meetings, and travel arrangements, and prepares necessary meeting materials. Arranges domestic and international travel, including flights, accommodations, itineraries, and prepares travel expense reports in compliance with university policies. Plans, organizes, and coordinates meetings, conferences, and special events; prepares agendas, takes minutes, follows up on action items, and maintains deliverable tracking. Organizes and maintains electronic and physical file systems for efficient document retrieval and manages confidential information with discretion. Handles incoming and outgoing communications on behalf of senior leadership, drafts and edits correspondence, reports, presentations, speeches, and other documents. Oversees daily office operations, including supplies, office equipment maintenance, and administrative requests. Assists in monitoring and managing budgets for the senior leader’s office; processes financial transactions and expense reports. Assists with special projects and initiatives assigned by senior leadership, conducting research and compiling data to support decision‑making. Performs other job‑related duties as assigned. Key Skills and Abilities (KSAs) Experience analyzing data and identifying trends. Ability to work with confidential information with maturity and discretion. Highly organized with strong attention to detail and follow‑through. Strong written and verbal communication skills, articulating concepts and ideas effectively. Proficient in Microsoft Office Suite. Excellent time‑management skills and flexibility to work extended hours as needed. Ability to prioritize assignments and manage multiple deadline‑driven priorities. Minimum Qualifications Associate’s Degree. Four years of related experience as an Executive Assistant. Preferred Qualifications Bachelor’s Degree. Equivalent relevant experience that substitutes for education degree requirements, generally defined as one year of experience for one year of education (discretionary). Additional Information Travel: Occasional travel up to 20%, including required attendance at company summits (typically one to two per year) and other business‑related events as needed.
