Reconstruction Project Coordinator

The Inside Project Coordinator is responsible for managing restoration projects from initial assignment through handoff and completion support. This role serves as the primary communication hub between homeowners, project managers, insurance carriers, vendors, and third-party administrators (TPAs), ensuring every file is accurate, compliant, and progressing on schedule.

Primary Responsibilities
●  Receive and process new assignments promptly.
●  Make initial contact with homeowners and schedule inspections.
●  Create, update, and maintain accurate job documentation in DASH and all required TPA platforms.
●  Monitor assigned files daily to ensure tasks, notes, documents, and deadlines are current.
●  Communicate with homeowners, adjusters, project managers, vendors, and internal departments regarding project status.
●  Follow through on document signatures.
●  Obtain and upload required documentation, photos, contracts, authorizations, and insurance information.
●  Follow up on outstanding items to keep projects moving forward.
●  Escalate issues, delays, or customer concerns to management when necessary.
●  Maintain compliance with all insurance program requirements and company procedures.
●  Provide exceptional customer service through professional, timely communication.
●  Ensure files do not lose momentum.

Daily Expectations
●  Review assigned files throughout the day.
●  Respond to emails, phone calls, and messages promptly.
●  Keep file documentation current and organized.
●  Complete assigned follow-ups and task reminders.
●  Ensure every customer receives communication when required.
●  Work collaboratively with all departments to resolve issues efficiently.
