We are looking for an organized and service-focused Admin Svcs Coordinator to support day-to-day property administration in Washington, DC. This long-term contract opportunity is ideal for someone who enjoys balancing office coordination, tenant support, document control, and financial processing in an onsite environment. The person in this role will work closely with the onsite management and operations team to help keep building activities running smoothly, accurately, and effectively.

**Hours: 8:30 am - 5:00 EST M-F**

**Possibility of going perm for the right person**

Responsibilities:

• Maintain accurate property and operational records, ensuring files remain current and aligned with company procedures and compliance standards.

• Monitor certificates of insurance, verify information for accuracy, and help ensure renewals are completed on schedule.

• Process accounts payable and receivable activities, including invoice entry, payment tracking, coding review, and support for tenant billing documentation.

• Coordinate with building operations staff to log, assign, and follow up on maintenance requests and work orders across departments.

• Act as a primary administrative contact for tenants, vendors, and visitors by sharing updates, arranging meetings, and supporting onsite events.

• Welcome guests at reception, manage incoming calls, and provide prompt, attentive assistance while directing inquiries to the appropriate team members.

• Enter and route invoices through the procure-to-pay system, attach required backup documents, and follow approval workflows to minimize payment delays.

• Resolve routine administrative and operational issues independently when appropriate, while escalating more complex matters under established guidelines.

• Provide dependable general office support and complete additional administrative tasks that contribute to efficient property operations.

• Prior experience in administrative support, property administration, office coordination, or a similar business support role.
• Strong customer service and communication skills, with the ability to interact effectively with tenants, vendors, visitors, and internal teams.
• Working knowledge of accounts payable, invoice processing, payment tracking, and documentation control.
• Proficiency with Microsoft Office applications, including Excel, Word, and Outlook.
• Excellent organizational skills with close attention to detail and the ability to manage multiple priorities effectively.
• Ability to follow established procedures, maintain confidentiality, and produce accurate work under moderate supervision.
• Experience handling reception duties, inbound calls, scheduling, and general office functions in an office setting.
