Personal Assistant to the CEO

Job Title Personal Assistant Job Overview This is a remote position. WFH | Part Time | EST Job Overview: The Personal Assistant will work closely with the CEO to manage daily calendars, coordinate meetings and travel, keep tasks moving forward, and ensure seamless organization across all areas of his responsibilities. This person will be the right hand to the CEO - anticipating needs and providing proactive support. Key Responsibilities Manage and maintain the CEO's personal and professional calendars, ensuring meetings, events, and obligations are scheduled efficiently on a weekly basis. Coordinate internal and external meetings, including agendas, logistics, and follow-ups Track and prioritize tasks and deadlines; provide reminders and updates to ensure timely execution Organize travel arrangements and accommodation for both business and personal trips Act as a gatekeeper for communications; screen and manage emails, calls, and requests when needed Support personal errands or tasks as needed (e.g., gift purchases, appointments, reservations) Keep the CEO informed of upcoming commitments and responsibilities Assist with light administrative work, including document preparation, note-taking, and correspondence Submit, track, and reconcile the CEO's business expenses in a timely and organized manner Qualifications Proven experience as a personal assistant, executive assistant, or similar role Excellent organizational, time-management, and multitasking skills Strong written and verbal communication skills Ability to anticipate needs and act proactively Experience using: Google Workspace: Google Calendar, Google Meets, Gmail ClickUp for task management (or any other project management tool) Slack for communication Not a necessity, but a plus if they have experience in Canva, HubSpot, and Fathom.
