Pelvic Path is a premier, specialized outpatient physical therapy practice in San Rafael, CA. We provide compassionate, 1-on-1 care in a boutique clinical environment. We are seeking a reliable, warm Front Desk Coordinator / Medical Receptionist to serve as the face and voice of our clinic, manage front office operations, and ensure a smooth, welcoming experience for our patients.

Key Responsibilities
- Patient Experience & Reception: Greet arriving patients warmly, answer incoming calls, manage email inquiries, and guide clients through digital onboarding and intake forms.
- Schedule & Flow Management: Manage therapist schedules, coordinate follow-up appointments, reduce schedule gaps, and handle waitlists to ensure optimal clinic flow.
- Payment Processing & Billing Admin: Collect payments, process credit cards, issue receipts, and generate superbills/invoices using our streamlined software.
- Clinical & Administrative Support: Provide light administrative assistance to Physical Therapists (e.g., preparing intake folders, organizing patient charts, sending home exercise programs).
- Clinic Space Maintenance: Keep the reception area, waiting room, and common areas neat, sanitized, organized, and fully stocked with supplies and amenities.
Qualifications & Skills
- Experience: 1+ years of front desk, receptionist, or customer service experience (experience in a medical clinic, physical therapy practice, wellness clinic, or boutique studio preferred).
- Communication: Exceptional verbal and written communication skills with strong empathy and active listening.
- Tech-Savvy: Tech-competent and comfortable using Electronic Medical Record (EMR) software, Google Workspace, and online scheduling platforms.
- Privacy & Compliance: Knowledge of HIPAA compliance and strict adherence to maintaining patient confidentiality.
- Attributes: Detail-oriented, highly punctual, reliable, and skilled at multi-tasking in an organized manner.
Schedule & Shift Details
- Shift Type: Part-Time (20+ hours/week)
- Schedule: Set days/shifts to be finalized upon hire (e.g., consistent morning or afternoon blocks)
- Location: In-person at our San Rafael, CA practice site
