Administrative & CPE Coordinator

Job Description Job Description Oregon Society of CPAs is a statewide not-for-profit professional membership association located in Beaverton, Oregon. If you are organized, detail-oriented, able to manage a variety of tasks to meet deadlines, and enjoy working with people, an association career may be right for you. Essential Job Functions: Supports the Director with division responsibilities, and in implementing and supporting organizational goals and OSCPA Strategic Plan. Front Office & Daily Support · Serves as part of the front-office team to greet and receive members and guests. · Responds to in-person, phone, and email inquiries and directs inquiries to appropriate staff. · Completes daily activities, responsibilities, and reminder dates. CPE Program & Event Support · Processes registrations for seminars and conferences to include webcast group discount and volume discount offerings. · Creates and maintains OSCPA events and activities in association management database to include queries and reports. · Completes administrative responsibilities for OSCPA-SelectTM webcasts, including event setup in webcast platform, reconciliations, vendor correspondence, and associated projects. · In-person event preparation to include printing name tags and attendance records, event reconciliations, etc. · Communicates and coordinates seminar needs with discussion leaders. · Ensure materials are ordered for each seminar and uploaded for participant access. · Complete and tabulate the evaluations for CPE seminars. · Vendor webcasts and on-demand program support. · Completes programming tasks including course administrator appointments and packets, Discussion Leader booking sheets to include hotel reservations. · Supports Director with administrative fulfillment of On‐site/In‐House education programs. CPE Catering & Event Support · Coordinates catering arrangements and guarantees, facilities and setups for on-site seminars, conferences, and events at the OSCPA Center. · Works in cooperation with the Facilities Assistant on inventory ordering, product fulfillment, etc. Marketing & Communications Support · Supports Director with division marketing and projects to include catalog, CPE Resource, and digital and print promotions. · Completes seminar email promotions, working closely with the Director for promotional content and message timing. · Draft, edits, and proofreads communications and assist with associated printing process. · Utilizes Adestra and Outlook to produce promotional emails. Other · Provides administrative support to The OSCPA Educational Foundation. · Support other divisions to complete projects as requested. · Provides support for mailroom, shipping and receiving, and inventory. · Performs other duties and responsibilities as assigned. Education and Experience Requirements: · Requires high school diploma – college degree preferred. Experience may substitute for some education. · Requires minimum of 2 years’ related experience. Travel Requirements: · Local errands · Some in-state travel may be required for meetings, conferences, presentations, and other OSCPA events.
