Front Desk Receptionist

The Front Desk Receptionist serves as the first point of contact for visitors, clients, applicants, and employees. This role is responsible for creating a welcoming and professional front-office experience while supporting daily administrative operations, managing incoming calls, coordinating visitor flow, and maintaining an organized reception area.

  • Greet and welcome visitors in a friendly, professional manner and direct them to the appropriate person or location.
  • Answer, screen, and route incoming phone calls promptly and courteously.
  • Provide basic and accurate information in person, by phone, and through email.
  • Maintain a clean, organized, and presentable reception area with necessary supplies and materials.
  • Receive, sort, and distribute mail, packages, deliveries, and other correspondence.
  • Support office security by following visitor check-in procedures and controlling access through the reception desk.
  • Schedule appointments, update calendars, and assist with meeting coordination as needed.
  • Perform clerical duties such as filing, scanning, photocopying, data entry, and document preparation.
  • Monitor and replenish front-office supplies and communicate inventory needs.
  • Assist team members and departments with administrative tasks to support smooth daily operations.

Required Qualifications

  • High school diploma or equivalent required.
  • Previous receptionist, front desk, administrative, or customer service experience preferred.
  • Strong verbal and written communication skills.
  • Professional appearance, positive attitude, and strong customer-service mindset.
  • Ability to multitask, prioritize, and remain organized in a busy office environment.
  • Basic proficiency with Microsoft Office, email, phone systems, and standard office equipment.
  • Ability to handle confidential information with discretion.

Preferred Skills

  • Experience using scheduling, visitor management, or applicant tracking systems.
  • Bilingual communication skills, if applicable to the location or client population.
  • Strong problem-solving skills and ability to respond calmly to questions or concerns.
  • Attention to detail and accuracy in data entry and administrative work.
  • Dependability, punctuality, and ability to represent the organization professionally.
