To thrive/succeed as the Maintenance Coordinator, you should have: 6 months – 1 year of related experience. Associate's degree or equivalent from a two-year college or technical school preferred. Strong written and verbal communication skills, with the ability to read, analyze, and interpret business, professional, technical, or governmental documents. Ability to prepare reports, business correspondence, and procedure manuals and effectively present information to managers, customers, and the public. Strong basic math skills, including the ability to calculate percentages, proportions, discounts, and other figures and amounts. Sound reasoning and problem-solving skills, with the ability to follow written, oral, or diagram instructions and address standardized situations. Proficiency with Microsoft Office, including Word, PowerPoint, and Excel, as well as email and project management software. Your responsibilities as the Maintenance Coordinator will include: Respond to homeowner maintenance inquiries by phone, email, and web portal, documenting conversations and following up as directed. Coordinate with contractors and vendors to schedule routine maintenance, approved work, and resident appointments while keeping maintenance calendars current. Review, follow up on, and complete maintenance work orders daily, including matching invoices to work orders and closing completed requests. Assist Community Association Managers (CAMs) with contract assignments, maintenance action items, vendor coordination, and work approved by Boards of Directors. Maintain accurate CINC Portfolio Management records, including recurring maintenance alerts, contract expirations and renewals, vendor contact information, W9s, and COIs. Prepare and distribute homeowner maintenance notifications, email blasts, vendor appointment notices, bids, and related correspondence for CAM and Board review. Provide professional and timely support for homeowner maintenance concerns, protect confidential information, and assist with after-hours emergency calls as requested.
