Portfolio Administrator

Springborn Staffing is partnering with a successful wealth management and financial services firm in the Portland area to find a self-motivated and customer-focused Portfolio Administrator. Our client is a growing organization dedicated to delivering comprehensive financial strategies and exceptional service to a diverse clientele. This in-office position plays an essential role in providing direct client services, working closely with portfolio managers and the broader client services team. The ideal candidate values a highly collaborative approach and will ensure clients receive prompt, courteous, and professional service at all times. Key Responsibilities Client Management: Work closely with Portfolio and Relationship Managers, maintaining primary responsibility for assigned clients and accounts while providing cross-support for other firm clients as needed. Account Administration: Accurately perform or oversee administrative tasks, including cash needs and transfers, gifting, obtaining and forwarding tax information, generating statements, calculating IRA Required Minimum Distributions (RMDs), and executing trust income distributions. Account Operations: Efficiently open and close accounts by completing required forms, gathering appropriate documentation, and working directly with custodian representatives. Process Improvement: Collaborate with the Client Services Team to streamline policies and procedures for onboarding, data maintenance, and administration to provide exemplary client service. Technical Support & Reporting: Handle report customization, complex account queries, fund accounting, trading, daily reconciliation, and maintain non-profit (non-taxable) performance databases. Trading Assistance: Facilitate advisor trading queries related to bonds, equities, benchmarking, and complex manual account maintenance, acting as a back-up trader when necessary. Compliance: Assist with ongoing compliance duties as requested. What You Bring to the Role Education & Experience: A Bachelor’s degree (or other formal education) in a financial services-related field, OR a minimum of 5 years of equivalent experience in lieu of a degree. Industry Expertise: A minimum of 5 years of proven, successful client service experience within the financial services sector. Preferred Credentials: Certifications relevant to the financial industry, banking, or trust and estate administration are a strong plus. Technical Skills: Working knowledge of the MS Office suite, Black Diamond, WealthBox, Pontera, Adobe, and other applicable wealth management/investment software. Work Style: Intrinsic motivation with the ability to work independently under minimal to moderate supervision. Demonstrated accuracy and strong attention to detail are critical. Growth Mindset: A strong initiative and willingness to learn more about the business, industry trends, and practices related to the role. Our client offers an entrepreneurial environment with excellent growth opportunities and a robust, competitive compensation package, including: Compensation: Competitive base salary with an annual bonus potential of 4% to 15%, plus a pay-incentive revenue-sharing program after 12 months. Retirement: 401(k) plan with a 3% Safe Harbor match and additional Profit Sharing. Paid Time Off: 21 days of PTO per annum, plus paid parking.
