The Subpoena Clerk I may handle the more complex administrative issues. The job is routinely entrusted with highly confidential information and interfaces with Customers and staff on a daily basis in a timely and confidential manner.**Depth & Scope:*** Assists in coordinating the workflow of summons and subpoenas* Reviews and interprets the incoming summons and subpoenas and submits them to Legal Research for production* Takes on projects, special tasks and the more difficult to handle summons and subpoenas* Interacts with in house counsel and/or outside counsel in regards to the challenging subpoenas* Serves as main contact between Requestors and Legal Research* Handles the high volume of phone calls and emails in a timely manner* Prepares and/or composes correspondence and memoranda on pending legal matters; maintains department filing system* Researches and responds to routine legal questions from banking centers and lines of business throughout the company* Assumes responsibility for special projects as assigned by supervisor* Provides basic legal support services, preparing and typing legal documents and filing* Acts as a primary phone contact for the legal department**Education & Experience:*** High School Diploma or GED* 2-4 Years of related experience* Minimum of 2+ years legal assistant work experience or administrative experience in a banking or corporate environment or legal office is required* Knowledge of departmental policies, procedures and areas of the organization is preferred* Advanced proficiency with basic office equipment such as personal computers, fax machines, copiers and telephone systems with excellent knowledge of Microsoft Word, Excel, PowerPoint and Access* Must have excellent typing and transcription skills* Excellent interpersonal, organizational, verbal and written communication skills are necessary* Detail-oriented, highly motivated and adaptable* Must exercise sound judgment and maintain confidentiality of records and information* Must have excellent Customer service orientation**Preferred Qualifications:*** Experience interpreting and reviewing subpoena requests* Strong background in communicating with external, requesting attorneys and agencies* Ability to ensure that the Bank complies with relevant laws and regulations while efficiently responding to legal inquires* Experience handling a high volume of incoming subpoenas and requests* High attention to detail, reviewing subpoena productions and applying necessary redactions* The ability to manage competing priorities* Experience staying up to date on new policies, procedures and escalation processes* Strong organizational and clerical skills* Proficient with the Microsoft Office Suite of products* Prior subpoena experience**Customer Accountabilities:*** Understands and supports the Bank's Customer Service Strategy* Considers the impact of decisions on the well-being of TD, its Customers and stakeholders* Provides the highest level of Customer service when dealing with internal partners, vendors or our Customers - WOW at every opportunity* Models quality service delivery at every interaction* Leads and contributes to the ongoing improvement of the partner/Customer experience within the team**Employee/Team Accountabilities:*** Be engaged in advancing and sustaining a unique, inclusive culture that reflects TD's diversity agenda, and creates an extraordinary employee experience* Participates fully as a member of the team and contribute to a positive work environment* Ensures ongoing communication with the team on the status / progress of projects and issues / points of interest* Actively shares information and knowledge and proactively learn from the expertise of others**Physical Requirements:**Never: 0%; Occasional: 1-33%; Frequent: 34-66%; Continuous: 67-100%* Domestic Travel – Occasional* International Travel – Never* Performing sedentary work – Continuous* Performing multiple tasks – Continuous* Operating standard office equipment - Continuous* Responding quickly to sounds – Occasional* Sitting – Continuous* Standing – Occasional* Walking – Occasional* Moving safely in confined spaces – Occasional* Lifting/Carrying (under 25 lbs.) – Occasional* Lifting/Carrying (over 25 lbs.) – Never* Squatting – Occasional* Bending – Occasional* Kneeling – Never* Crawling – Never* Climbing – Never* Reaching overhead – Never* Reaching forward – Occasional* Pushing – Never* Pulling – Never* Twisting – Never* Concentrating for long periods of time – Continuous* Applying common sense to deal with problems involving standardized situations – Continuous* Reading, writing and comprehending instructions – Continuous* Adding, subtracting, multiplying and dividing – ContinuousThe above statements are intended to describe the general nature and level of work being performed by people assigned to this job.
