Program Support Assistant

Summary

The incumbent is assigned to the Community Living Center (CLC) Nursing. The incumbent functions as the Program Support assistant for the Community Living Center. This duty assignment requires initiative on behalf of the incumbent and the ability to prioritize tasks without immediate supervision. The incumbent is based in the Community Living Center and is responsible for a variety of administrative duties associated with providing comprehensive technical, administrative, and clerical services.

• Responsible for collecting, compiling and/or tracking statistical information in support of program operations.
• Tracks achievement on performance measures, goals, and objectives and receives and processes documents and reports in accordance with established procedures; uses software applications to draw information from a wide variety of sources to prepare reports; and assists in the planning, reviewing, and reporting of data/statistical results of program studies.
• Retrieves a variety of computerized data, establishes protocols for incoming data, organizes and maintains program data.
• Tracks and trends issues related to program effectiveness and role implementation.
• Responsible for collaborating and communicating with Nursing Service on a variety of issues to include collecting, compiling, and reporting all information for a variety of Community Living Center.
• Communicates with a diverse population of customers that include veterans, their families, nursing staff, and other staff members from a variety of disciplines, Primary Care, medical staff, technical support staff, and Veteran Service Officers.
• Communication includes directing patients, validation of demographics, etc., all in compliance with the Health Information Portability and Accountability Act (HIPAA), Privacy Act of 1974 and other laws and federal regulations, other applicable statues, and policies.
• Acts as the Records Liaison Officer (RLO) is responsible to their manager for the full implementation of the records program at their service level.
• Maintains a complete and accurate inventory of records created and stored.
• Collaborates with the Records Officer to identify records not scheduled for disposition to determine an SF-115 needing to be submitted to the VHA Records Officer for scheduling.
• Completes the VA Form 7468 Request for Disposition of Records, for records no longer needed for [facility] business.
• Conducts internal records reviews to ensure an effective records management program within their scope is maintained on, at a minimum on an annual basis.

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 07/22/2026.

Time-In-Grade Requirement : Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.

You may qualify based on your experience as described below:

• Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: providing administrative support; collecting, compiling and tracking data and information; processing documents and reports; establishing, updating and maintaining office files and records; performing automation duties using such software applications such as word processing, spreadsheet, electronic mail, desktop publishing, calendar, database and/or graphics; and providing information and customer service.

Receiving Service Credit for Earning Annual (Vacation) Leave : Federal Employees earn annual leave at a rate (4, 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee.
