Office Services Specialist

Reports To The Field Support Specialist will report to the Client Services Supervisor, Client Services Manager, Human Resources, or equivalent leadership. Job Overview The Field Support Specialist will provide backfill coverage within their assigned region, filling in for staff on scheduled and unscheduled time off. This position requires flexibility, as the FSS may be assigned to multiple locations and may need to perform same‑day assignments for unscheduled call outs. The role supports customer satisfaction, continuity of business, and service level agreements by ensuring continuous coverage. Duties and Responsibilities Mail Services Provide world‑class service to all clients. Process inbound and outbound mail/packages, sort by recipient/department using manual or electronic chain‑of‑custody procedures. Perform duties related to shipping and receiving of materials, including packaging and sealing shipments. Reprographics Services Assist with copy/print production and monitor equipment for satisfactory functionality. Provide binding services such as GBC, Velo, Coil, and Wire. Operate multifunction devices, ensuring functionality and replenishing toner/paper. Conduct scanning, imaging, and light copy/print reproduction services. Office Services Maintain the Office Services Center in a neat and orderly fashion. Service and replenish pantry, conference, kitchen, or meeting areas. Perform general and preventive maintenance and repair duties. Oversee office equipment maintenance and safety tests. Organize, clean, and stock breakroom areas. Set up meeting and conference rooms. Monitor and replenish office supplies. Inventory office supplies and order as needed. Front of House Provide reception or concierge coverage as needed. Welcome guests, receive and catalog guest information, and orient new clients. Represent SPS Global and clients positively in all interactions. Oversee the quality of the lobby concierge experience and assist others with a courteous demeanor. Coordinate client access with Building Security. Handle and route global calls appropriately. Log visitors into the registration system. Assist staff with light administrative tasks as directed. Communicate effectively in both verbal and written formats. Use MS Office Suite with intermediate to expert competency. Manage multiple tasks simultaneously and maintain strong organizational skills. Operate multi‑functional device (MFD) equipment. Understand and apply shipping/receiving procedures. Work independently and complete projects independently. Seek additional work during downtime and build professional relationships with customers and teams. Maintain professionalism and composure in all interactions. Qualifications and Education Requirements High School Diploma (or equivalent) required. At least 6 months of prior work experience preferred. Ability to work assigned hours as determined by manager. Excellent organizational and time‑management skills. Analytical abilities and aptitude for problem‑solving. Superb written and verbal communication skills. Current knowledge or ability to learn computer‑based systems required for position functions. Maintain a professional appearance and attitude. Adhere to all policies and procedures. Physical Demands Approximately 50% of the time involves: Fine and/or gross motor skills, including grasping, lifting, and carrying up to 25 lbs. individually and 50 lbs. with assistance. Walking, bending, kneeling, standing, or sitting for extended periods. Manual dexterity for operating office machinery and equipment such as ladders and binding machinery. Vision requirements including close vision, distance vision, focus adjustment, and color discrimination for tasks such as MFP color calibration. Travel Travel is essential and requires reliable transportation. Assignments may include traveling between SPS sites after arrival at the home location as business needs dictate. Travel distance will mainly be within the FSS’s assigned region. Other Duties Responsibilities and activities may change at any time with or without notice.
