Senior Executive Assistant - Sales (West Palm Beach)

Position Summary:

The Senior Executive Assistant - Sales will provide high-level Executive Assistant support to the EVP of Strategic Partnerships in Life Sciences while also managing client meeting coordination, Zoom recording confirmation, meeting notes, follow-up items, Salesforce documentation, and operational execution. This role requires strong calendar, travel, expense, communication, document, and administrative support skills, along with comfort supporting client-facing meetings. The position must be local to West Palm Beach, FL and will be expected to work in the office when the EVP is in the office.

Responsibilities:

• Provide day-to-day Executive Assistant support to the EVP, including complex calendar management, inbox/communication support, meeting scheduling, prioritization, document preparation, and administrative follow-up.
• Attend EVP Zoom meetings with clients and key stakeholders to confirm meetings are recorded, capture notes, track decisions, and document next steps.
• Prepare agendas, briefing documents, Zoom details, meeting materials, correspondence, presentations, reports, and post-meeting summaries on behalf of the EVP.
• Own client follow-up after meetings, including recap notes, open items, next steps, stakeholder coordination, and Salesforce updates.
• Coordinate cross-functional priorities with Legal, HR, Finance, Operations, Analytics, Product, and other teams to keep work moving and stakeholders aligned.
• Coordinate domestic travel, conference logistics, client meeting schedules, dining, transportation, expense reporting, and related meeting/hospitality needs.
• Attend up to approximately 10 U.S.-based client or business meetings annually, most often Thursday through Sunday.

Qualifications

• Bachelor’s Degree in Business, Marketing, Communications, or a related field preferred. Equivalent work experience will be considered in lieu of degree.
• 7+ years supporting a senior executive in an Executive Assistant, Strategic Executive Assistant, business operations, sales support, or client-facing executive support role.
• Experience with CRM, calendar, travel, expense, Zoom, Microsoft Office, and collaboration tools, including Salesforce, Concur, Teams, Zoom, Outlook, Word, Excel, and PowerPoint.
• Exceptional organization, judgment, time management, attention to detail, and ability to prioritize independently in a fast-paced environment.
• Excellent verbal and written communication skills with strong executive presence and comfort interacting with clients, senior leaders, and internal stakeholders.
• Demonstrated discretion with confidential information and ability to support in-person meeting logistics and hospitality.
• Must be local to West Palm Beach, FL and available to work in the office when the EVP is in the office.
• Availability for occasional after-hours meetings and weekend work.
