We are seeking a friendly, organized, and detail-oriented Bilingual Spanish Medical Receptionist to join our medical practice in a back-office support role. The ideal candidate will assist with patient checkout, scheduling follow-up appointments, making appointment reminder calls, coordinating prescription refill requests, and providing excellent customer service to patients in both English and Spanish.

The successful candidate must be comfortable communicating with patients, managing multiple tasks, maintaining accurate medical records, and working collaboratively with providers and clinical staff to ensure a smooth and positive patient experience.

Pay Rate: $21.00/hr
Schedule: Monday – Friday / 8:30AM – 5:00PM
Location: Long Beach, CA

Key Responsibilities:
•    Patient Checkout: Check patients out after their appointments, schedule follow-up visits, provide checkout instructions, and collect copayments or outstanding balances as needed. 
•    Follow-Up Scheduling: Make outbound calls to patients to schedule follow-up appointments, coordinate return visits, and assist with rescheduling missed or canceled appointments. 
•    Prescription Requests: Receive and process prescription refill requests, communicate requests to the appropriate provider, and transmit prescriptions to pharmacies as authorized and permitted by office policy and applicable law. 
•    Patient Communication: Answer incoming calls, return patient messages, provide appointment information, and communicate clearly with Spanish- and English-speaking patients. 
•    Appointment Coordination: Confirm upcoming appointments, send reminders, and follow up with patients who need to schedule recommended visits. 
•    Medical Records: Update patient demographics, document telephone encounters, enter appointment notes, and maintain accurate information in the electronic health record (EHR) system. 
•    Provider Support: Communicate patient requests, follow-up needs, and pharmacy issues to physicians, medical assistants, nurses, or other appropriate clinical personnel. 
•    Referral Coordination: Assist with referrals, diagnostic testing appointments, and follow-up coordination as assigned. 
•    Administrative Duties: Maintain organized patient records, manage incoming and outgoing messages, and assist with other back-office administrative tasks as needed. 
•    Patient Confidentiality: Protect confidential patient information and comply with HIPAA requirements and office policies. 
•    Customer Service: Maintain a professional, compassionate, and helpful attitude while addressing patient questions and concerns.

Medical Receptionist Job Requirements: 
•    Bilingual in English and Spanish, with the ability to communicate effectively with patients in both languages. 
•    Previous medical receptionist, medical office, healthcare administration, or patient services experience preferred. 
•    Experience with patient checkout, appointment scheduling, telephone follow-up, or prescription refill coordination preferred. 
•    Familiarity with electronic health records (EHR/EMR) and medical office procedures preferred. 
•    Strong verbal and written communication skills. 
•    Excellent organizational skills and attention to detail. 
•    Ability to multitask in a fast-paced medical office environment. 
•    Professional telephone etiquette and a patient-focused attitude. 
•    Ability to maintain confidentiality and handle sensitive information appropriately. 
•    Reliable, punctual, and able to work effectively as part of a healthcare team. 

Preferred Skills:
•    Experience making outbound calls to schedule follow-up appointments. 
•    Knowledge of medical terminology and common healthcare workflows. 
•    Experience communicating with pharmacies regarding prescription requests. 
•    Familiarity with insurance verification, copayments, and patient account balances. 
•    Ability to document patient communications accurately and efficiently.
