Job Summary:

The Operations Analyst is a key analytical and operational partner to the Vice President of Operations at Access Labs. This role provides data analysis, reporting, project coordination, process improvement support, and operational visibility to help drive performance, execute strategic priorities, and move initiatives from planning through completion.

The successful candidate will be a proactive problem solver who can understand complex operational information, identify trends and root causes, translate data into clear recommendations, and coordinate cross-functional follow-up with accuracy, urgency, and professionalism.

Job Responsibilities:

Operations Analytics & Reporting

• Develop, maintain, and distribute operational dashboards, scorecards, reports, and KPIs for leadership review.

• Analyze operational data to identify trends, variances, bottlenecks, inefficiencies, risks, and opportunities for improvement.

• Consolidate data from multiple departments and systems, validate accuracy, investigate discrepancies, and translate findings into clear business insights and recommendations.

Executive & Leadership Support

• Support the VP of Operations in preparing for executive meetings, operational reviews, strategic planning, business cases, and decision-making discussions.

• Prepare executive-level reports, presentations, summaries, dashboards, and supporting analysis.

• Track key priorities, commitments, deadlines, dependencies, outstanding decisions, and follow-up items to maintain visibility and accountability.

Process Improvement & Project Coordination

• Evaluate workflows across Access Labs to improve efficiency, consistency, quality, scalability, and client experience.

• Document current-state and future-state processes, create process maps and SOPs, identify root causes, and recommend practical improvements.

• Coordinate cross-functional initiatives involving Operations, Client Success, Customer Service, Data Entry, Scheduling, Billing, Commercial, Laboratory, IT, and other departments.

• Develop project plans, timelines, action items, deliverables, documentation, and status updates; monitor progress and escalate risks, delays, dependencies, or resource constraints.

Operational Performance, Systems & Strategic Support

• Assist in defining, maintaining, and analyzing operational KPIs, departmental scorecards, SLAs, productivity metrics, turnaround times, capacity, staffing, workload, and resource utilization.

• Support monthly business reviews, operational performance discussions, corrective action tracking, forecasting, budgeting activities, and resource allocation recommendations.

• Use operational systems and reporting platforms to collect, analyze, and present data; support Salesforce and other business system optimization.

• Identify opportunities to automate manual reporting, improve repetitive workflows, support system testing and implementation, and align technology capabilities with operational requirements.

• Conduct research, benchmarks, cost-benefit analyses, and business case support for strategic projects that improve scalability, efficiency, quality, and client service.

Core Deliverables

The Operations Analyst will maintain and support operational KPI dashboards, executive scorecards, department performance reports, project plans and trackers, strategic initiative trackers, process maps, workflow documentation, root-cause analyses, capacity and workload analyses, continuous improvement recommendations, executive meeting materials, and action-item/accountability tracking.

Qualifications & Skills:

• Bachelor's degree in Business Administration, Operations Management, Business Analytics, Healthcare Administration, Supply Chain, or related field preferred.

• 2-4 years of experience in operations, business analysis, healthcare operations, project coordination, process improvement, or a related field.

• Strong analytical, problem-solving, project management, organizational, written communication, verbal communication, and stakeholder management skills.

• Advanced Microsoft Excel skills, including pivot tables, lookups, formulas, data analysis, reporting, and strong attention to data accuracy.

• Experience developing dashboards, scorecards, reports, or executive-level business summaries.

• Ability to manage multiple priorities independently while maintaining close communication with the VP of Operations and working effectively across departments.

Preferred Qualifications

• Experience in healthcare, laboratory, diagnostics, healthcare technology, or another regulated environment.

• Experience with Salesforce, Power BI, Tableau, Monday.com, Smartsheet, Asana, or similar CRM, reporting, BI, and project management platforms.

• Lean Six Sigma or other continuous improvement certification; experience with process mapping, workflow optimization, KPIs, SLAs, capacity planning, productivity metrics, executive reporting, or senior leadership support.
