divh2Executive Assistant To The President, CEO/h2pWe are seeking a highly experienced, poised, and exceptionally organized Executive Assistant to serve as a trusted partner to our President Chief Executive Officer within a fast-paced, high-stakes distribution and logistics environment./ppThis is a mission-critical role supporting a decisive, visionary leader operating at speed. The successful candidate will bring structure, clarity, and follow-through to a dynamic executive workflow where priorities shift quickly and expectations are high./ppThis is not a traditional 9-to-5 administrative position. It is an executive partnership role designed for someone who thrives in intensity, anticipates needs instinctively, and consistently delivers under pressure./ppMinimum requirement:/pp35+ years of direct C-suite Executive Assistant experience/ppWhy This Role Is Unique/pp You will support a CEO who moves quickly, processes information rapidly, and expects decisive execution./pp The environment is fluid and demanding; priorities can compress or shift with little notice./pp Communication is direct and candid. Emotional intelligence, professionalism, and confidence are essential./pp You will function as an executive thought partner, organizing information, filtering noise, and creating structure where ambiguity exists./ppIf you seek predictability, rigid schedules, or fully mapped workflows, this role will not be a good fit. If you excel at bringing order to complexity, you will thrive./ppKey Responsibilities/pp1. Executive Support Workflow Management/ppa. Manage high volumes of executive communications (email, messaging, task requests) with precision and discretion./ppb. Anticipate executive needs by proactively preparing materials, reminders, and context./ppc. Maintain and continuously adjust a complex, fast-moving calendar in real time./ppd. Translate fragmented or evolving information into clear priorities and actionable next steps./ppe. Design and implement systems, templates, and checklists to streamline executive operations./pp2. Strategic Communications Stakeholder Relations/ppa. Serve as a professional representative and gatekeeper for the CEO with internal teams, clients, and external partners./ppb. Draft, edit, and proof executive-level communications, correspondence, and briefings./ppc. Track delegated tasks and close open loops to ensure timely execution./ppd. Maintain accurate records of meetings, decisions, and follow-ups to establish a reliable source of truth./pp3. Project Task Management/ppa. Own task pipelines and follow-up processes using ClickUp as the central project management system./ppb. Attend executive and strategy meetings; capture decisions, next steps, and accountability./ppc. Identify risks, bottlenecks, and dependencies before they impact timelines or outcomes./pp4. Travel Logistics/ppa. Coordinate domestic travel, including itineraries, accommodations, and real-time changes./ppb. Prepare comprehensive briefings ahead of travel and develop contingency plans for disruptions./ppRequired Qualifications/pp1. 35+ years of experience supporting a CEO, founder, or senior C-suite executive./pp2. Demonstrated success in fast-paced, high-pressure, and constantly evolving environments./pp3. Advanced proficiency with Microsoft Office (Outlook, Teams, Excel, Word)./pp4. Hands-on, daily experience with ClickUp for task, priority, and project management./pp5. Exceptional written and verbal communication skills; able to draft confidently on behalf of an executive./pp6. Proven autonomy, sound judgment, and accountability with minimal direction./ppIdeal Work Style Attributes/pp1. Flexible Availability: Able to support variable schedules, including occasional evenings or weekends./ppWork Schedule Flexibility/pp1. This position does not follow a rigid schedule./pp2. Baseline expectation: 4045 hours per week/ppPeak periods may require 5560 hours (launches, executive travel, urgent matters)/ppWork hours may shift day-to-day based on executive needs/ppSome evening or weekend availability will be required, sometimes with limited notice/ppTransparency is intentional.
