The Town of Falmouth welcomes applications for a detail-oriented and customer-service-focused Administrative Clerk to join the Planning Division of our Community Development Department. Based in the Planning Division’s Housing Office, this position supports the entire Planning Division, with an emphasis on assisting with the Planning Division’s efforts to preserve and create affordable housing in the Falmouth community.

 

This is a part-time, year-round, non-benefit-eligible position that works 19 hours per week. Hours will be scheduled Monday through Friday between 8:00 a.m. and 4:30 p.m.

 

Under the general supervision of the Community Development Director or their designee and in coordination with assigned Planning Division staff, key responsibilities include:

 

• Providing administrative support for meetings of boards and committees associated with the Planning Division, including the Planning Board and Affordable Housing Committee, by preparing and distributing notices, agendas, packets, and other materials; arranging meeting logistics; taking notes as assigned; maintaining meeting records; and completing routine follow-up;
• Maintaining affordable-housing lottery information, the master affordable-housing list, the Town’s Subsidized Housing Inventory, records of projects funded through the Affordable Housing Fund, and annual monitoring-agent reports;
• Monitoring the Town’s online permitting system for assigned building permits and certificates of occupancy and maintaining information needed for housing records and inventories;
• Accepting Affordable Housing Fund and Local Initiative Program applications; checking submissions for required documents and basic completeness; routing materials for review and signature; and organizing records supporting awards and disbursements;
• Maintaining assigned Planning Division webpages, including housing-related information, online records, public information, application forms, and lists;
• Responding to inquiries and visitors, providing routine information about Planning Division programs and procedures, and referring complex or sensitive matters to appropriate staff;
• Receiving, logging, scanning, filing, and routing plans, applications, decisions, reports, and supporting documents and reviewing submissions for required forms and basic completeness;
• Processing Planning Division invoices and payroll records, monitoring routine expenditures, and assisting with information for the annual budget, Town report, and other recurring reports;
• Preparing correspondence, notices, forms, reports, and other materials and maintaining calendars, contact lists, electronic records, and filing systems; and
• Assisting the Community Development Director and other Planning Division staff with assigned projects and related division and department activities.

 

Minimum Qualifications : High school diploma or equivalent and a minimum of two (2) years of experience involving customer service, administrative support, office procedures, financial recordkeeping, or related work; or an equivalent combination of education, training, or experience that demonstrates possession of the required knowledge, skills, and abilities necessary to perform the essential functions of the position.

 

The successful candidate takes pride in accurate, reliable work and understands how strong administrative support helps residents, volunteer board and committee members, and Town staff move important community work forward. The successful candidate also has meticulous attention to detail with strong customer service, communication, organizational, proofreading, data-entry, recordkeeping, computer, and technology skills. Candidates must be able to work independently on routine assignments, organize competing responsibilities, meet deadlines, maintain accuracy amid frequent interruptions, handle confidential information appropriately, and identify matters requiring professional review. Experience with spreadsheets, databases, online permitting systems, or website content-management tools is desirable.

 

Selected applicants will be invited to complete a skills screening as an initial step in the evaluation process.

 

Anticipated Starting Hourly Rate: Step 1 ($28.16/hour) to Step 3 ($30.46/hour), commensurate with qualifications and experience, with eligibility for annual advancement along the 7-step pay scale.
